Hayward Hawk are delighted to be working in partnership with a professional service client to recruit a Project Assistant on afull time permanent basis.
The role will be located in Belfast with a hybridworking pattern.
What you'll do Organise business lunches, dinners, and other events.
This includes keeping track of guest lists, dietary needs, venues, menus, and staying within budget.
Help monitor and respond to emails for the Partners, Associate Directors, and Manager when needed.
Create and format documents, emails, presentations, agendas, and reports using Word, Excel, and Power Point.
Prepare documents and reports that are accurate and meet company standards.
Stay organised to meet deadlines, handle changes, and balance different priorities.
Plan and manage the calendars of Partners, Associate Directors, and Manager.
Help with creating pitches, updating CVs and client credentials, writing reports, and keeping client records up to date.
Keep up to date with what's going on in your team and the wider business.
Use this knowledge to prioritise tasks and raise issues when needed.
Get involved in team meetings, welcome new staff, and take part in training, projects, and other office activities.
Book complex travel plans, accommodation, and meeting spaces.
Provide clear itineraries and make sure all details (visas, hotels, transport) are sorted.
Include global trips in business development (BD) reports.
Collaborate with the Partners, Associate Director, and Practice Manager to help manage projects and tasks.
Follow internal processes and handle confidential information appropriately.
What you'll need At least 5 years experience working as an Executive Assistant or similar role, supporting C-Suite /Partners.
Great project management skills Great attention to detail and able to support managers by thinking about the bigger picture.
Strong communication skills both written and spoken.
Experience in a professional services company.
Have strong personal leadership skills and carry yourself with confidence.
Very organised with great time management skills able to plan ahead, juggle tasks, and adapt when things change.
Confident working in a busy, fast-paced environment and staying calm under pressure.
Confident using Microsoft Office (Outlook, Power Point, Excel, Word).
