In this role, you will be a key member of the Accounts Team, reporting to the Cluster Manager. Your main responsibility will be to ensure the efficient running of the finance functions within the property. As part of a cluster of four properties, you will also get the opportunity to assist within the larger team to ensure the finance functions are delivered efficiently.
As Purchasing Assistant we want you to -
1. To ensure that all Procure Wizard purchase orders and delivery notes are matched correctly and that all price queries are resolved with Purchasing.
2. Be flexible to travel across the region currently covering 4 hotels, and train & develop members of finance as well as Department Heads.
3. To ensure Procure Wizard KPIs, MP Scans, Outstanding Deliveries are maintained and cleared down where applicable.
4. To Review Commitments and carry out Ad-Hoc Requests depending on business needs.
5. Assist in Month End Activities – Such as Cost Centre Balancing, and Junior P&L journals
6. To liaise with suppliers over disputed invoices.
7. Request Statements and reconcile back to the POs and raise where applicable
8. To supervise the Procure Wizard Food & Beverage flashes.
9. To ensure Purchase Ledger month-end closure procedures are adhered to.
10. Preparation of monthly accrual schedule based on outstanding purchase orders/delivery notes.
11. To liaise with Central Processing admin – re: prompt payment of invoices.
12. To liaise with Head Office purchasing – re: pricing and volume issues.
13. To ensure stock sheets are updated on an ongoing basis.
14. Participation in the development & achievement of the business objectives of the group finance team.
15. Deal with supplier queries in a friendly and efficient manner.
16. Be aware of the ‘business' as a hospitality provider.
17. Make sure all stakeholders are responded to promptly and effectively and any issues are dealt with in a timely fashion.
18. Assist Cluster FC / Accounts Manager/Supervisor with proactive planning in order to facilitate the readiness of the Finance department at all times.
19. Communicating and cooperating with management colleagues.
The Ideal Candidate For This Position
1. Have an excellent level of business English.
2. Have excellent communication skills both written and verbal.
3. Be able to demonstrate a basic understanding & interpretation of financial reports.
4. Have excellent attention to detail, organised and can work to strict deadlines.
5. Have experience in team development.
6. Have commercial understanding and business.
7. Have proven competence in the use of accounting and PMS systems.
8. Possess very good IT skills in Office applications.
9. Experience of Opera, Micros and SAP.
10. Be flexible regarding travel and work hours, with a possibility of overnight stay.
11. Experience of hospitality is ideal.
