Legal Executive – Litigation - Nooney & Dowdall LLP
Due to expansion we are recruiting an experienced legal executive.
Client Management
* Throughput of work on litigation cases from initial instruction to conclusion working alongside managing solicitor.
* Working independently and competently on a case by case basis achieving file advancement;
* Liaising with clients in a professional timely, flexible and friendly manner, obtaining instructions and taking appropriate action;
* You will be accountable for managing a caseload involving multiple clients.
* Being the internal point of contact for queries about that caseload - and an external point of contact for clients.
File Management
* Engrossing draft pleadings of every nature, liaising with court offices to ensure compliance with court procedure etc.
* Liaising daily with counsel in various cases to ensure compliance with counsel’s directions and upcoming hearings;
* Issue of court proceedings, drawing up briefs etc. for counsel, preparation of witnesses etc. for court hearings;
* Ensure all documentation is scanned, saved and named in line with Nooney & Dowdall LLP procedures.
* Review of all case documentation to ensure the appropriate information has been received. Retrieving information from the hard copy file or our Case Management System.
* Ensure all relevant associate information is entered on the system for each case.
* You will assist solicitors to progress files using our Practice Management System.
* You will ensure the financial information on each case is kept up to date.
* You will ensure all third parties invoices (barristers, engineers, doctors, specialists etc) and outlays are recorded accurately on the relevant file.
* You will be responsible for maintaining client data within the Practice Evolve Practice Management System and maintaining information (both physical and electronic) throughout their life cycle from file opening to file closure.
* Completing files and archiving.
Phone Calls
* Record and detail all incoming & outgoing phone calls promptly.
* Record all incoming & outgoing calls in our practice management system.
Emails
* Handle all incoming & outgoing emails promptly.
* Issue all emails relating to case files from the practice management system email facility.
* Update physical & electronic files with any relevant information from emails as required.
Diary Management
* Proactively manage the Diary of Solicitors.
* Organise meetings, appointments & other events for Solicitor/Partner as required.
* Organise appointments and meetings on behalf of your solicitor, arranging room facilities if required and notifying the relevant parties in advance.
Dictation
* Assign all dictation to the junior secretary where possible.
* Complete urgent requests for dictation typing if requested by Solicitor/Partner.
* Review & update/finalise any completed dictation received and issue to Clients as needed.
Skills/ Knowledge
* Keen knowledge of District, Circuit and High Court processing procedures;
* Competence in dealing with barristers regarding upcoming court proceedings;
* Proficient typing skills and keen attention to detail;
* Excellent communication skills;
* Research skills;
* Ability to relate to clients from every social background/ethnicity;
* Proficient MS Word, Excel & Outlook skills;
* Proficient English language, grammar & legal terminology knowledge;
* Proficient Practice Evolve – or extensive knowledge of an alternative practice management system;
* Proficient Digital Dictation knowledge;
* A suitable qualification in Legal Executive training and/or at least two years work experience in fast paced legal practice background particularly in litigation;
* Flexible working schedule;
* Time Management skills;
* Team player – working on cases in tandem with partners, solicitors, legal secretaries, bookkeeper/ accounts, reception and administrative staff.
