The Property Manager will be a self-motivated, results-oriented professional responsible for managing a diverse portfolio of residential and commercial properties. This role encompasses site management, financial oversight, emergency response coordination, and letting services. The successful candidate will excel at tenant management, conflict resolution, and effective communication with stakeholders—including large institutional landlords in the PRS market and the Board of Directors.
Key Responsibilities
Property & Site Management:
* Oversee the day-to-day management of residential blocks and commercial properties.
* Conduct regular property inspections, ensuring health, safety and maintenance standards compliance.
* Manage emergency services and address urgent issues promptly and efficiently.
Financial & Lease Administration:
* Prepare and manage budgets, track rental income, and handle arrears in accordance with RTB regulations.
* Produce detailed inventories, condition reports, and lease documentation.
* Monitor contract renewals/reviews and issue correspondence as required by regulation.
* Provide proactive tenant management, resolving conflicts and maintaining high service standards.
* Act as the primary contact for key clients and landlords, maintaining regular communication and reporting.
* Support the line manager on larger client projects and accounts, ensuring expectations are met.
Operational Coordination:
* Track upcoming available properties and manage checkouts/turnovers of vacant units.
* Ensure all management systems and property records are kept up to date.
* Co-ordinate maintenance activities with internal teams and approved external contractors.
* Mentor apprentices and trainees, fostering a culture of continuous improvement and professional development.
Compliance & Reporting:
* Ensure full compliance with relevant legislation including the Residential Tenancy Act 2004, Health & Safety Legislation, Fire Services Act 1981, Occupiers Liability Act 1995, Waste Management and Litter Pollution Acts, and Data Protection Act.
* Prepare and deliver regular reports (weekly, monthly, quarterly) to landlords and senior management.
Qualifications & Education
Education:
* Bachelor’s degree in Real Estate, Property Management, or a related field.
Experience & Skills:
* Proven expertise in property management, site management, and financial management.
* Experience in both residential block management and commercial property management.
* Proficiency with property management software and strong IT literacy (particularly with Microsoft Office, including Word and Excel).
* Excellent communication, interpersonal, and relationship management skills.
* Strong problem-solving, decision-making, and team leadership abilities.
* In-depth knowledge of relevant property laws and regulations.
* Demonstrated ability to work independently and collaboratively in a fast-paced environment.
