Matrix Recruitment are seeking an Office Administrator for a leading manufacturing group based in Wexford.
About the Role
This is a key position ensuring smooth office operations and providing essential support to staff and management.
Key Responsibilities
* General Office Administration:
o Manage general office operations, maintaining a clean and organized workspace.
o Handle incoming and outgoing communications, including phone calls, emails, and correspondence.
o Maintain and update office records, databases, and filing systems.
o Assist in preparing reports, presentations, and other business materials.
o Order office supplies and manage inventory to ensure all resources are adequately stocked.
o Organize and coordinate events, such as team meetings, training sessions, and celebrations.
o Act as the first point of contact for visitors and ensure they are welcomed professionally.
o Ensure compliance with company policies and procedures, including health and safety regulations.
* Invoicing, Financial and Weighbridge Administration:
o Operate and maintain the weighbridge system, ensuring all vehicle weights are accurately recorded.
o Issue weighbridge tickets and maintain detailed records and POD for compliance and reporting purposes.
o Communicate with drivers, ensuring proper adherence to safety and operational procedures.
o Reconcile invoices with weighbridge records to ensure data accuracy and address and resolve any discrepancies in a timely and professional manner.
o Generate and process invoices accurately and in a timely manner, ensuring alignment with company policies.
o Assist with accounts payable and receivable tasks as needed.
Requirements
* Proven experience in an administrative role or similar position (minimum 2 years preferred).
* Familiarity with invoicing and basic financial administration tasks.
* Strong organizational and multitasking skills, with exceptional attention to detail.
* Excellent written and verbal communication skills.
* Ability to work independently and as part of a team.
* Flexible, adaptable, and capable of managing competing priorities in a fast-paced environment.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and other office tools.
