Our company is seeking a highly experienced and skilled Account Manager to join our team. The ideal candidate will have extensive experience in construction accounting and will be able to lead our teams to successful project completion.
Primary Responsibilities:
1. Software Optimization & Integration:
o Evaluate and refine existing workflows between BuilderTrend and QuickBooks.
o Improve the integration process, ensuring accuracy, efficiency, and simplicity.
o Provide ongoing recommendations or alternative software solutions if necessary.
2. Job Costing & Financial Tracking:
o Implement clear, reliable job costing methodologies.
o Ensure real-time, transparent tracking of job costs, purchase orders, change orders, and labor costs.
o Identify inaccuracies, discrepancies, or inefficiencies in current practices; provide actionable solutions immediately.
3. Internal Accountability & Oversight:
o Clearly define expectations and roles for financial tracking, data entry, approvals, and compliance among staff.
o Regularly audit, follow up, and hold employees accountable for adherence to financial processes.
o Provide training and clear documentation to the team on new processes and expectations.
4. Accounts Payable (AP) & Accounts Receivable (AR):
o Establish structured, efficient AP processes (invoice approvals, payment scheduling, vendor management).
o Streamline AR processes, including timely and accurate invoicing, collections follow-up, and cash-flow forecasting.
o Take ownership of both AP & AR tasks previously managed by your CPA.
5. Payroll Management & Administrative Tasks:
o Assume responsibility for weekly payroll processing currently handled by the CPA, utilizing QuickBooks efficiently.
o Ensure accuracy, compliance, and timely completion of payroll and associated administrative tasks.
6. Monthly Financial Close & Reporting:
o Independently manage monthly close-outs, reconciliations, and preparation of accurate, timely financial reports.
o Produce transparent and insightful job-cost reporting for management decision-making.
7. Reduced Reliance on CPA:
o Proactively manage tasks historically performed by your CPA firm (Hagan Johnson & Associates), transitioning routine administrative and bookkeeping tasks in-house.
o Utilize CPA for specialized tasks only (year-end taxes, advisory services, complex issues), significantly reducing your CPA-related expenses.
Ideal Candidate Qualifications & Skills:
* Advanced proficiency with BuilderTrend and QuickBooks, particularly in construction-focused environments.
* Strong background in construction-specific job costing, financial administration, payroll management, and internal control procedures.
* Demonstrated ability to independently handle financial tasks historically outsourced to a CPA.
* Proven leadership skills in training staff, ensuring compliance, and enforcing accountability.
* Track record of driving financial accuracy, transparency, and organizational efficiency.
