We are an education and research company seeking a highly organized and detail-oriented individual to join our team as a Workplace Experience Administrator.
Job Summary
The ideal candidate will provide administrative support, manage facilities, coordinate meetings and events, and contribute to the company's wellbeing initiatives. The role requires strong communication skills, proficiency in MS Office, and flexibility in adapting to new deadlines.
Key Responsibilities
* Administration of PO, invoice, credit card payments process for workplace experience activity.
* Managing travel requests and bookings for colleagues.
* Managing taxis process and courier bookings for colleagues.
* Acting as primary point-of-contact on workplace experience mailbox.
* Maintain & update company documentation as required.
* Support activities around clearing-out current office incl. scanning, shredding, organising documentation etc.
* Administration support for facilities contracts for both current and new offices.
* Support for on-site set up of new office.
* Support for developing new office procedures and documentation for new office.
* Support coordination of staff events incl. facilities preparation, catering requirements, logistics.
* Support for events on internal communications plan.
* Liaising with external suppliers in relation to internal / external meeting arrangements.
* Acting as point-of-contact for all external parties to meetings & events.
* Coordination of wellbeing events and tasks per wellbeing calendar.
* Support with wellbeing updates and newsletters.
* Support with rolling out wellbeing initiatives.
Requirements
* Strong administration experience in a similar role.
* Proficiency using MS Office including Excel, Word, Outlook, Powerpoint.
* Excellent verbal and written communications skills.
* Proven organisational skills and approach while demonstrating strong attention to detail.
* Experience at being flexible with adapting to new deadlines.
* Self-motivation and the willingness to take on responsibility for your own area of work.
* An organised approach to work and an ability to prioritise effectively in a busy and changing environment.
Nice-to-haves:
* Experience of facilities management.
* Demonstrate ability to work on own initiative.
