Job Summary
We are seeking a highly organized and detail-oriented Primary Contact to serve as the main liaison between our CEO, Executive Team, and internal/external stakeholders. The ideal candidate will provide administrative support, manage calendars, coordinate meetings, and handle communication effectively.
Main Responsibilities:
* Act as primary contact between CEO, Executive Team, and internal/external stakeholders
* Provide comprehensive administrative assistance, including managing correspondence, typing reports, and filing
* Organize and maintain multiple calendars, schedule business time, and prioritize internal/external meetings and appointments
* Manage telephone and email communications, screen calls, respond to queries, and keep the CEO informed of developments
* Prepare agendas and minutes for various meetings (weekly, bi-weekly, monthly), ensuring clarity and precision in documentation, and promptly disseminate them to relevant stakeholders
Additional Duties:
* Provide administrative support for programs, committees, and initiatives
* Track and coordinate consultant recruitment process, ensuring all documentation and steps are completed timely and efficiently
* Maintain confidential records and follow-up systems with high accuracy
* Manage reception desk in executive area, control visitor access, direct enquiries, and ensure professional presence for the department
* Arrange travel and accommodation for CEO and Executive Team
* Assist with event planning and management as needed
* Oversee boardroom and meeting room scheduling, manage visitors, and address staff/public enquiries to the Administration Department
Requirements:
* Proven ability to manage multiple priorities and meet deadlines effectively
* Excellent IT skills, with proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
* Exceptional organisational, time management, and communication skills (both written and verbal)
* Demonstrated ability to work independently and adapt to a dynamic environment
* Strong discretion, confidentiality, and diplomacy
