Associate Director – Project Management & Continuous Improvement - Global Supply Chain (GSC)
Job Description Summary
The Associate Director - Project Management (PM) and Continuous Improvement (CI) - GSC is part of the GSC Excellence and Strategy team (GSC E&S) and is responsible for supporting the GSC group with CI and PM. Results are achieved by partnering with the business to create a CI mindset and framework and leading/supporting the PM of initiatives.
Responsibilities
* CI and PM Framework:
o Enhance the foundations to support a repeatable approach to PM and CI initiatives – e.g. CI training, tools, templates etc.
o Develop a CI Service level offering from tools to templates to fully manage CI.
o Develop and roll out an integrated GSC E&S framework for PM and CI activities - from intake to requirements gathering and right through to deployment, ensuring robust repeatable service delivery through robust stakeholder management.
o Establish an integrated GSC E&S monthly business review framework.
o Establish current state maturity and benchmark to advance the maturity of services.
* CI and PM activities:
o Apply a structured methodology by leveraging a PM and CI methodology, to create a strategy to support the implementation and adoption of the changes required.
o Engage with internal customers to support their efforts in solving complex problems and improving performance.
o Perform analysis and diagnostics to identify opportunities for improvement and make recommendations to leadership.
o Design and facilitate workshops and Kaizen events.
o Coordinate idea generation, project identification, prioritization, and overall selection, ensuring that projects are integrated with business strategies.
o Support the design and delivery of CI projects as part of a cross-functional team.
o Identify and justify project benefits and financial savings.
o Support teams assigned to implementing the recommendations.
o Drive achievement for own projects and projects they are supporting.
o Coordinate the training of all levels of the organization on CI principles and methodologies.
o Coach and mentor Project Sponsors, Black Belts/Green Belts candidates on the proper use of tools, improvement processes, and deployment issues.
o Encourage a CI culture by influencing and empowering employees to identify opportunities to apply techniques and tools in everyday work activities.
o Facilitate the sharing of best practices and project successes across the organization.
o Support the change management, communication and training efforts.
o Create and utilise a best practice PM and CI Framework.
o Identify, analyze and prepare risk mitigation tactics.
o Ensure that PM plans are supported by OCM plans.
o Track and report issues.
o Evaluate and ensure user readiness.
o Measure the impact of change management strategies deployed through key KPI measurement to monitor change progress.
* Business Partnering:
o Collaborate with subject matter experts across the Pharmaceutical Development and Manufacturing (PDM) business area, GSC, Finance and Commercial.
o GSC E&S - Closely partner with the other pillars under GSC E&S: Processes, Global Trade Compliance and other optimisation pillars such as Training, Resilience, OCM and Data and Analytics to identify CI and PM dependencies.
o Develop a deep understanding of organisational operations and workflows.
o Regular engagement with customers to understand pain points, prioritisation etc.
o Support cross-functional business process governance reviews.
* Future of CI and PM as a service provided:
o Develop Vision and mission aligned with GSC, PDM and Gilead’s vision and mission.
o Develop and implement roadmap to evolve the CI and PM service whilst utilising best in class benchmarking, maturity assessment and action plans to evolve.
o Collaborate across Gilead PM and CI teams, creating, participating and engaging in a Community of Practice to share learnings, best practice and latest trends.
* Measures of Success:
o As part of establishing a monthly business review process, identify success factor KPI’s for both CI and PM services. Identify and maintain impact measurements for existing and new PM/CI activities/services.
o Identify areas of opportunity and improve the CI and PM framework/service offering.
* Change Management:
o Facilitate communications and change management for key programs and projects on an Ad Hoc initiatives as needed – to ensure cross team member capability.
Experience and Competencies
* Relevant experience in related field and a BS or BA; or
* Relevant experience and an MA/MBA.
* Experience in pharmaceutical operations/cGMP environment highly desirable.
* May require experience purchasing custom chemicals, planning pharmaceutical development activities, and managing the third-party synthesis of intermediates/Active Pharmaceutical Ingredient and Supply Chain experience, managing end to end change with in-depth knowledge of Supply Chain processes.
* Excellent attention to detail coupled with an ability to understand the 'big picture'.
* Leads and project manages projects independently.
* Comfortable presenting recommendations to diverse stakeholders.
* Solid understanding of current industry trends.
* Leadership qualities: collaboration, accountability, cross functional engagement and influence, strategic vision and coaching.
* Excellent communication skills - ability to communicate on technical content and data with non-technical business stakeholders, clearly articulating messages to a variety of audiences.
* Ability to establish and maintain strong relationships and influence others.
* Flexible and adaptable; able to work in ambiguous situations.
* A Customer Service, Continuous Improvement and Project Management mindset.
Qualifications
* Project Management and Lean Six Sigma qualifications e.g. PMI/PRINCE 2/Green or Black belt.
* Bachelor’s degree in Business/CM/Engineering discipline is required.
* Master’s degree and/or professional qualifications in supply chain management a plus.
* Change management qualification e.g. PROSCI or other recognised CM qualification a plus.
