Operations Coordination
The Office Operations Executive is responsible for managing and coordinating all aspects of travel arrangements for employees, clients, and executives.
This includes travel operations such as flights, other forms of transport, and accommodation as required.
They prepare detailed travel itineraries, ensuring they include all relevant travel details, including flight schedules, hotel bookings, transportation, and meeting arrangements.
All travel bookings must adhere to company policies and guidelines, with accurate records maintained and expenses kept in check.
Key Responsibilities
* Manage and coordinate travel arrangements for employees, clients, and executives
* Prepare detailed travel itineraries
* Maintain accurate records of travel bookings, cancellations, and expenses
* Act as point of contact for travel-related issues
* Generate regular reports for management and finance teams
Office Management
Responsible for overseeing the day-to-day operations of the office environment.
Ensuring facilities are well-maintained, and the office runs smoothly and efficiently.
This includes landlord management, coordinating services into offices, ordering stationery, repair and installation of office equipment, and coordinating office cleaning requirements.
Health and Safety
* Ensure office health and safety standards are met
* Conduct regular inspections of the office and facilities
* Liaise with building security on access card system management
* Oversee compliance with health, safety, and environmental regulations
Oversight of all offices, including Letterkenny, London, and support to Tokyo as required.
Reporting on quarterly consumption and sustainability reporting.
Other Duties:
* Maintain and update company website
* Manage social media accounts - LinkedIn
* Liaise with graphic designers to create marketing materials
