Job Description
The role of Senior Executive Assistant is a temporary contract based in Dublin. The primary purpose is to provide comprehensive support to the Director, ensuring timely, effective, and efficient delivery of their responsibilities.
Key Responsibilities:
* Provide day-to-day support to the Director through effective management of:
o Diary and Outlook Calendar coordination
o Meeting arrangements and minute taking
o Briefing paper and report production
o Administrative and logistic requirement anticipation
* Manage highly confidential and sensitive business correspondence, ensuring timely, sensitive, and discrete responses within required deadlines.
* Coordinate the development and maintenance of the Director's stakeholder engagement plan, collaborating with relevant teams to ensure all engagements are planned and recorded effectively.
* Act as liaison contact point between the Director and Directorate staff, facilitating an efficient flow of information and communications.
* Assist with event management, large meeting set ups, and virtual meetings on various platforms to ensure seamless execution and positive attendee experiences.
* Develop and maintain positive stakeholder relationships with internal and external stakeholders to deliver Directorate objectives.
Requirements:
* Desirable third-level degree
* Relevant PA experience, including working on own initiative and as part of a team in a fast-paced environment
* Good knowledge of operations management, manpower planning, and budgetary processes
* Excellent skills in MS Office suite, particularly PowerPoint and Excel
* Project management and operational risk experience desirable
* Experience using SharePoint
* Strong drafting and report writing skills
* Excellent interpersonal skills, including discretion, confidentiality, and strong judgement
* Strong relationship management skills
* Ability to prioritize and organize effectively
* Excellent verbal and written communication skills
