A. Details Position: Finance Assistant Grade: Clerical Officer (CO) Whole time equivalent: Full time - 35 hours per week Reports to: The overall manager in the area is the Finance Director/Company Secretary. The individual will report to both the Finance and Payroll Manager and will work very closely with the Finance Assistant and other members of the Finance team. Duration: Permanent Role Closing Date: 12 noon, Monday 07th April 2025 B. Department & Role Overview The Arts Council is the Irish Government’s agency for supporting and promoting the arts in Ireland. We work in partnership with artists, arts organisations, public policy makers and others to build a central place for the arts in Irish life.This is a permanent full-time position. Some of the main areas include processing supplier invoices, preparation of supplier payments and ensuring all supplier details are up to date. Processing all travel requests while ensuring that all necessary authorisation has been obtained in all cases. The role will entail communicating, mainly by email, with suppliers and co-workers as well as helping out other members of the team as required. Attention to detail is essential. All training and support will be provided to the successful candidate so that they can become an intrinsic member of the committed and collaborative Finance team which manages the Arts Council’s budget of approximately €130 million. C. Key Responsibilities Processing Creditors Payments; Working closely with the Finance Assistant; Updating supplier bank details Updating all suppliers details on our ICT system Dealing with all supplier queries Batching and setting up payments Dealing with travel requests and queries Assisting with the preparation of Financial reports; Work with/provide support to other Finance team members on general Finance duties including Audit preparation, filing and scanning; On occasion may be required to provide assistance/cover to other departments. Skills Knowledge and Experiences A proven record of excellent administration and organisational skills, with strong attention to detail and a high level of confidentiality. Two– three years’ experience in a finance environment is desirable; Excellent interpersonal, communication skills and ability (verbal and written), particularly in relation to contact with internal staff across all levels and external clients; Strong ICT skills and ability, ideally to include MS Office, in particular Excel, Word and Outlook; Flexible and enthusiastic in the context of a busy and demanding workplace; An ability to anticipate needs, to work effectively as a member of a team and to work on your own initiative; A demonstrated commitment to contributing positively to a team and to effective ways of working; A commitment to high standards of public service; The ability to communicate through the Irish language, both verbal and written, desirable but not essential.
