Job Summary:
The Hire & Sales Desk Controller is responsible for managing both the hire and sales aspects of equipment rental and sales operations, with full control over all stock processes, including delivery, collection, damages, over, extra, and advance (OEA) orders, negative stock, and over-returns. This role involves coordinating with customers, overseeing logistics and inventory, and maintaining high standards of service and efficiency. Acting as the primary client liaison, the Hire & Sales Desk Controller ensures a smooth transaction process, from initial inquiry through to delivery and follow-up, fostering strong customer relationships and optimizing business operations.
Your role will now include but is not limited to the following responsibilities:
Customer Service & Relationship Management:
* Serve as the main contact for clients inquiring about equipment hire and sales.
* Respond promptly and professionally to customer inquiries, providing accurate product information, pricing, availability, and terms.
* Build and maintain positive relationships with customers to foster repeat business and referrals.
Sales & Hire Order Processing:
* Process orders for both hire and sales, ensuring accurate and efficient handling from inquiry to completion.
* Prepare and send quotations.
* Coordinate with the yard to confirm equipment availability, delivery schedules, and ensure on-time service.
Full Control of Stock Processes:
* Maintain complete oversight of all stock processes, including:
* Delivery: Ensure timely and accurate dispatch of equipment for hire and sale.
* Collection: Coordinate timely collection of equipment post-hire, ensuring items are returned in good condition.
* Damages: Assess returned items for damages, arrange for repairs, and record all maintenance activities.
* Over, Extra, Advance (OEA) Orders: Manage any over-ordered, extra, or advance stock requests to optimize availability and client needs.
* Negative Stock: Monitor and address any negative stock situations to maintain inventory integrity.
* Over-Return: Track any over-returns and manage stock adjustments accordingly.
* Ensure accurate and real-time record-keeping in inventory management systems, including status updates and stock levels.
Inventory & Stock Control:
* Monitor stock levels for hire and sale items, including managing reorders.
* Organize routine checks on all equipment to maintain quality and safety standards.
* Keep detailed records of stock levels, inventory movements, and returns.
* Organise and drive cyclical and wall to wall stock counts.
Scheduling & Logistics Coordination:
* Schedule deliveries and collections for rental items.
* Liaise with drivers to ensure timely and safe delivery of equipment to client sites.
* Track equipment utilization to maximize rental efficiency and advise on availability.
Administration & Reporting:
* Maintain accurate records of all hire and sales transactions, customer details, and equipment usage in the company database.
* Prepare regular reports on rental and sales activity, revenue, equipment utilization, and client feedback.
* Support accurate and timely invoicing, ensuring all documentation is complete and current.
Continuous Improvement:
* Suggest and implement improvements to enhance customer service, operational efficiency, and product offerings.
* Provide feedback to management on customer preferences, market trends, and potential service enhancements.
Qualifications and Skills:
* Experience: No experience necessary.
* Skills: Strong organizational abilities, attention to detail, effective communication, and a customer service-oriented approach.
* Technical Skills: Basic proficiency with office software (e.g., Microsoft Office) and the ability to learn inventory systems.
* Problem Solving: Ability to multitask, prioritize responsibilities, and manage customer interactions calmly and professionally.
