Job Summary
We are seeking a Senior Administration Officer to provide executive, secretarial and administrative support to the Director on a temporary basis.
The successful candidate will work 22.5 hours per week in a part-time role, Monday to Wednesday 9am-5pm, with an option to change to Tuesday to Thursday once trained.
This is a temporary position paying £14.17 per hour.
About Your Next Employer
The purpose of this role is to assist the PA to Director in ensuring services are delivered efficiently and effectively.
This involves regular communication and interaction with Elected Members, Senior Officers, and external stakeholders.
Your Responsibilities
* Compile and collate reports for submission to Committee, meetings, and working groups, along with subsequent action lists.
* Liaise with relevant Members' Services staff to ensure timely preparation of reports and assist in meeting administration.
* Undertake research for and on behalf of the Director, providing background papers and reports as needed.
* Assist the PA to Director with diary and email management, including arranging meetings and making bookings.
* Receive and redirect mail to appropriate Officers for reporting or progression.
* Maintain an effective communication system with Members/Officers, external organisations, and the public.
* Deputise for the PA to Director in directorate meetings, preparing agendas, briefing papers, and taking minutes.
* Prepare meeting packs for the Director and provide all necessary papers.
* Deal with complaints and enquiries referred to the Director, using initiative when necessary.
* Maintain manual and electronic filing systems, adhering to policies and procedures.
* Promote equality of opportunity and access in service delivery.
* Provide administrative assistance to the Directorate, covering sickness, leave, or other staff absences.
About You
To be considered for this role, you will require:
* A minimum of three years' employment experience in Personal Assistant roles to Chief Executives/Directors or Senior Managers.
* Minute-taking skills and proficiency in office administration systems.
* Competence in Microsoft Office, specifically Word, Excel, and Outlook.
