Key Responsibilities:
Project Support and Control:
1. Assist Project Managers in controlling projects
2. Track project progress, identify and resolve issues
3. Coordinate with project stakeholders and provide regular status updates
4. Manage project documentation and files
5. Provide administrative support to the project team
Financial Management:
1. Review funding requirements and submit based on vendor proposals
2. Manage capital projects financially - handle purchase orders, change orders, goods receipts, and invoicing
3. Monitor capital project activity and ensure spending is within the established budget
4. Communicate with Project Managers to ensure working capital/expense funds are released when needed
5. Submit funding/budget requests in the financial system
Project Administration:
1. Create and activate opportunities/projects in TRIRIGA Project Management
2. Review and validate quotations from suppliers/general contractors (Name, Description, Quantity)
3. Document due diligence and upload it in TRIRIGA
4. Coordinate with APO (Administrative Processing Team) for purchase requisition/PO issuance to suppliers/vendors
5. Notify Project Managers on PO issuance and fund augmentation needs
6. Manage goods/service receipt processes
7. Execute physical project close-out in TRIRIGA
8. Monitor payment schedules
Reporting and Database Management:
1. Maintain database and reports to support project management and budget review
2. Monitor and administer project dollars to ensure spending is within established budget
3. Maintain tracking forms and generate reports
Qualifications:
1. Bachelor's degree with 2-3 years of experience in basic financial management in the construction field
2. Fundamental knowledge of finance concepts like Budget, OPEX, CAPEX, etc.
3. Excellent communication and interpersonal skills
4. Ability to work independently and as part of a team
5. Good attitude and willingness to learn and be trained
6. Proficiency in G Suite, project trackers, and Smartsheet
7. Experience with Microsoft Office suite of applications
8. Strong planning, organizational, and time management skills
9. Must be willing to work in line with US time zones
Desirable Skills:
1. Experience in retail store build projects
2. Familiarity with TRIRIGA Project Management system
3. Knowledge of procurement processes and financial management principles
