Job Description:
The Assistant Community Centre Attendant is a critical role that requires attention to detail, excellent communication skills, and the ability to work independently.
Main Responsibilities:
1. Security of Premises:
* Ensure all areas are secure at all times.
* Monitor CCTV system for any suspicious activity.
* Liaise with the School Caretaker to ensure premises are secure.
* Maintain contact with security/monitoring company as necessary.
* Verify user group sign-in and sign-out procedures.
2. Supervision/Patrolling of Premises:
* Regularly monitor premises to ensure efficient use of space.
* Carry out regular patrols of the facility to identify potential issues.
* Liaise with other staff members to ensure smooth facility management.
3. Reception Duties:
* Answer phone calls and respond to messages in a timely manner.
* Be polite and friendly when interacting with callers and customers.
* Recognize individual needs and provide tailored support.
* Record incoming calls and maintain accurate records.
* Distribute information to the public from the reception area.
* Maintain leaflets/flyers/timetables up-to-date.
* Type and format documents as required.
4. Maintenance Duties:
* Perform routine maintenance tasks on premises.
* Regularly check BMS equipment to prevent malfunctions.
* Maintain all systems to ensure optimal performance.
* Notify manager of any maintenance-related issues.
5. Grounds Maintenance:
* Liaise with the School Caretaker to develop a grounds maintenance program.
* Ensure grounds are cleaned daily.
* Remove weeds and debris to maintain a clean environment.
* Maintain car parks by removing rubbish and ensuring clear access.
6. Administration Duties:
* Prepare invoices for user groups and distribute monthly.
* Maintain accurate records of user groups and pricing structures.
* Complete additional administration tasks as needed.
7. Communications:
* Interact with people in a courteous and diplomatic manner.
* Maintain regular contact with the Shared Facility Executive.
* Communicate effectively, listen actively, and relay information accurately.
8. Documentation:
* Securely store all records in a filing cabinet.
* Document accidents/grievances, including names, addresses, and phone numbers.
* Report incidents to Garda and line manager.
* Maintain maintenance manuals in a secure location.
9. Evacuation & Emergency Procedures:
* Familiarize yourself with health and safety policies and procedures.
* Participate in fire evacuation drills.
* Contact emergency services and liaise with them upon arrival.
* Maintain calm in emergency situations.
10. Training and Assignments:
* Attend necessary training courses.
* Complete assigned duties as directed by management.
