Clerical Officer
We are seeking an experienced Clerical Officer to join our team in a public sector body. This is a temporary 35 hour per week position available immediately for a 3-month contract based at Merlin Park.
Responsibilities
* Support the Senior Executive Officer with all administrative tasks
* Prepare HR Forms
* Work effectively in a fast-paced environment
* Verify and record invoices on behalf of the Senior Executive Officer, including Utility Bills, Agency, Storage, Cleaning, and Printer Invoices
* Process orders for Janitorial items and Oil requests
* Perform general administration duties, such as filing, typing, data input, photocopying, scanning, etc.
* Take minutes as required
* Respond to queries via phone, email, and post
* Contact relevant stakeholders to follow up on queries, particularly regarding invoices and services not provided under contracts
* Attend and arrange tender viewings with potential cleaning companies, along with the Assistant Staff Officer, and attend committee meetings
* Perform other duties assigned by the Staff Officer/Senior Executive Officer
* Schedule clinics
* Process claim forms
* Issue Primary Medical Certificates to individuals with disabilities
* Send clinic appointment letters
* Maintain the client database
Requirements
* Proficient in Microsoft Office, including Word, PowerPoint, and Excel
* Previous experience within HSE
* Strong typing skills essential
* Dictaphone typing desired but not essential
* Excellent communication, organisational, and presentational skills
* Attention to detail, prioritisation, and deadline-oriented
