Main Duties and Responsibilities
1. Welcome visitors by greeting them, in person or on the telephone, dealing with queries, screening calls and forwarding to the correct department.
2. Monitor visitor access, ensuring visitors sign register.
3. Engage with students and staff to answer queries permit access to rooms.
4. Organising pick-ups for couriers on a day to day basis.
5. Managing post – collect post every day from tenants, frank post and have ready for collection from reception. Receive and sort mail and deliveries.
6. Updating financial records and creating Purchase orders on QFM.
7. Answering telephones, screen/direct calls, message management.
8. Maintaining a preventive maintenance planner for a number of sites and making sure services are completed when they are due and keeping track of service reports.
9. Liaising with Technical Services team on a day to day basis.
10. Organise conference and meeting room bookings.
11. Completing cleaning checks on a weekly basis of entire building and making sure building is kept to a high standard on a day to day basis.
12. Control inventory relevant to stationery and reception area.
13. Ensuring reception areas are kept tidy, managing flower arrangements etc.
14. Placing call outs with contractors.
15. Liaising with facilities staff from a number of tenants and coordinating works.
16. Contract administration for sub-contractors.
17. Organising quotes for repair works from sub-contractors.
18. Maintaining a helpdesk log every day.
Person Specification
19. Excellent customer service skills.
20. Ability to work with and part of a team.
21. Ability to plan, prioritise and work to strict deadlines.
22. Good communication and interpersonal skills with a strong customer focus both internally and externally.
23. Experience in a similar role would be beneficial.
24. Experience of working in an office environment essential.
25. Basic understanding of invoices and purchase orders.
26. Working knowledge of Microsoft word, excel and outlook.
