Role Description
This is a full-time on-site role as a Senior Office Administrator located in Waterford. Working in a busy Wood Manufacturing Workshop Office as a part of a team, this is a central role in the accounts and office administration function. You will be responsible for ensuring that the accounting function runs smoothly, that tasks are completed within the timeframes required for the production of management accounts, that debtor, creditor, cash flow and bank accounts are properly maintained, and that good communication channels are maintained with other designers, subcontractor, main contractors, QS teams, suppliers and clients.
Responsibilities
* Office, administration and accounts duties and to provide administrative support to the team.
* Accounts receivable.
* Overseeing accounts payable with Director and Financial Controller.
* Daily use of the company’s Document Management System (SharePoint system) – becoming an expert in its use and a go-to point for any assistance the team requires.
* Daily use and Management of Xero Accounting / Database and Microsoft Office and providing support to others in the use of the MS packages if needed.
* Liaising with designers, subcontractors, administrators and other disciplines involved in projects as requested by the Director.
* Production Overview - Together with the Director and Workshop Supervisor.
* Main point of contact for IT solution provider, (Internal IT only).
* Health & Safety Overview for WBI & Staff - Safety Statement Maintenance, Training Tracking & Updates, PPE, Fire Extinguishers, Fire Manual Checks and Maintenance. Insurances (Premises & Vehicles) Taxes / NCT’s / Services etc.
* All other Ad Hoc Duties for the Director as required.
Knowledge, Skills & Qualifications
* Able to work on own initiative as well as a team player.
* Accurate and organised methods of working.
* Ability to work under pressure and to tight deadlines.
* Ability to accurately record track in all aspects of office and project duties.
* Excellent knowledge of Microsoft Office packages Outlook, PowerPoint, Word, and Excel.
* Knowledge of Xero or similar accounting package / database.
* Previous administration experience in similar role.
Desirable but not essential as training can be given
* Knowledge of the Construction / Wood Manufacturing Industry.
* Manual Handling.
* Safe Pass.
* First Aid.
* Full Clean Driving License.
Candidates must be currently residing in and eligible to work in Ireland.
