The Office Operations Executive Role
Manages and coordinates all aspects of travel arrangements for employees, clients, and executives. This includes:
* Travel operations including flights, other forms of transport, and accommodation as required.
* Preparing detailed travel itineraries with relevant travel details such as flight schedules, hotel bookings, transportation, and meeting arrangements.
Maintains accurate records and adheres to company policies and guidelines. Ensures timely resolutions for travel-related issues like flight delays or cancellations.
Key Responsibilities
* Manage travel bookings, cancellations, and expenses.
* Generate regular reports for management and finance teams as needed.
* Stay informed of global travel advisories and risks, advising employees on safety measures and adjusting travel plans accordingly.
* Serve as the primary point of contact for all travel inquiries, offering assistance before, during, and after travel.
Office Management
Oversees day-to-day office operations, ensuring facilities are well-maintained and the office runs smoothly and efficiently.
* Liaises with landlords to ensure facilities meet requirements.
* Coordinates services such as telecoms, electricity, stationery, repairs, and installations.
* Maintains health and safety standards, conducts regular inspections, and ensures compliance with regulations.
Duties and Responsibilities
* Reports quarterly consumption and sustainability.
* Manages security systems, access cards, and liaises with building security.
* Handles contract and lease management.
* Maintains and updates the company website, social media accounts, and marketing materials.
