TTM Healthcare are proud to partner with our client in Galway City to recruit a Temporary Grade IV Medical Secretary.
Hours: Monday to Friday 9am to 5pm, 35-hour working week.
Contract: Temporary month to month contract.
Pay rates: in line with the public sector – €19.30p/h to €29.77p/h depending on verified relevant public sector experience.
This role requires excellent communication, multitasking, and typing skills, along with the ability to manage patient data with accuracy, discretion, and adherence to GDPR guidelines.
Main Duties and Responsibilities:
Medical Typing:
* Accurately transcribe medical documents, correspondence, and reports with speed and precision.
Reception and Telephone Service:
* Provide an effective and efficient front-line reception service, managing telephone inquiries from the public, service users, and healthcare professionals in a professional and empathetic manner.
* Schedule appointments and manage clinic bookings.
Data Management:
* Process, correct, and validate data to maintain accuracy and completeness.
* Ensure compliance with GDPR and confidentiality standards while handling sensitive service user information.
Filing and Record Management:
* Maintain both manual and computerised filing systems, ensuring that records are securely and accurately stored and easily retrievable.
Support to Public and Multi-Disciplinary Team:
* Provide clear information, guidance, and administrative support to service users and the multi-disciplinary team as needed.
Confidentiality and GDPR Compliance:
* Ensure all activities comply with GDPR and data privacy regulations to protect confidentiality.
* Perform any other duties commensurate with the position of a Grade IV Medical Secretary as assigned by management.
Essential Skills and Competencies:
* Fast and accurate typing skills, with experience in Dictaphone being highly beneficial.
* Excellent verbal and written communication skills.
* Strong telephone and reception skills, with a polite, professional, and patient-focused approach.
* Ability to manage a busy workload, prioritise tasks, and multitask effectively in a fast-paced clinical environment.
* High attention to detail when handling patient records and documentation.
* Ability to work independently, identify areas for improvement, and implement solutions to enhance department efficiency.
* Proven ability to work collaboratively as part of a multi-disciplinary team to support clinical and administrative functions.
