Executive Assistant to Chief Executive OfficerCoopman Search and Selection is thrilled to partner with a leading aircraft leasing company in their search for an Executive Assistant to support the CEO.Key ResponsibilitiesExecutive SupportManage the CEO’s diary, travel arrangements, and event coordination.Draft communications and memos on behalf of the CEO.Organise and oversee company meetings, including scheduling, reminders, and catering.Welcome office visitors and manage reception duties.Handle expense management, ad hoc projects, and data analysis.Coordinate company-wide meetings such as Town Halls and off-site events.Provide support for quarterly Board Meetings and related activities.Office Management & FacilitiesOversee invoice management, including purchase orders and collaboration with the Finance team.Manage office renovations, reconfigurations, and repairs across multiple floors.Ensure the availability of office supplies, including stationery, branded items, and kitchen essentials.Serve as the primary contact for building management, landlords, and contractors.HR AdministrationHandle HR-related invoicing and maintain accurate HR system records (e.g., new starters, leave tracking).Support recruitment processes, including the Graduate Programme and applicant management.Assist with HR communications, induction processes, and maintaining employee records.Actively participate in CSR and Sports & Social initiatives.Event ManagementOrganise bi-annual offsite events, Christmas/Summer parties, and informal team gatherings.Plan and execute CSR events, team-building activities, and celebrations for employee milestones.Assist with updates to the company website as required.Core CompetenciesBachelor’s Degree or equivalent qualification.Proven experience as an Executive Assistant or in a similar role.Exceptional attention to detail, organisational, and problem-solving skills.Ability to thrive in a dynamic, fast-paced environment and manage multiple priorities.Confident interacting with stakeholders at all levels of the organisation.Proficiency in MS Office and excellent written and verbal communication skills.A proactive, adaptable, and team-oriented mindset with a focus on reliability.If you're passionate about aircraft leasing and thrive in a fast-paced, high-impact role, we’d love to hear from you.
