Personal Assistant to the Director of Nursing Principal Duties and Responsibilities: Provide comprehensive and high-level administrative support to the Director of Nursing and the nursing team.
Primary point of contact within the Office of the Director of Nursing which includes liaising with staff within the hospital and all external parties. This includes communicating and disseminating relevant information to the hospital Management Team and delegating responsibilities on behalf of the Director of Nursing.
Proficient communication and interpersonal skills exercising discretion and diplomacy ensuring confidentiality, respect and privacy is maintained.
Managing the commitments of the Director of Nursing diary.
Administration lead for the Transition Year work experience programme within the hospital.
Administration lead and System Superuser for the annual Vaccinations Programme, which entails scheduling/administration of peer vaccinators.
Organise and convene meetings as instructed by the Director of Nursing.
Ensure that an excellent administrative and secretarial service is in place to process all correspondence and enquiries going through the department. Maintain, update and upgrade this service as necessary.
Involvement in the rollout and implementation of reporting of activity data required from the Director of Nursing.
Provide data/reports regarding scheduled care activity (IP/DC and OPD) for internal and external stakeholders as directed by Director of Nursing.
Provide data/reports on nurse staffing in collaboration with Nursing Admin Team and eRostering Supervisor.
Liaise with the Quality and Risk Department in relation to any written complaints, acting as a point of contact with staff involved at ward level.
Committee liaison - provide professional and administrative support to various committees chaired by Director of Nursing or other executive leads as may be required.
Liaise with the Cork College of Commerce in relation to work experience placements.
Undertake any such additional duties as may be required by the Director of Nursing.
Flexibility is required in terms of duties and responsibilities as the role and service evolves.
Maximising the use of ICT in ensuring work is completed to a high standard proficiency in Microsoft Office Suite including Excel, Power Point & Word.
Proficiency in MS Teams including scheduling.
Provide support to the Chief Executive Office and cover leave.
Eligibility Criteria: Formal Secretarial qualification essential.
Excellent computer skills.
Previous senior administrative experience of at least 2 - 3 years.
Excellent attention to detail.
Excellent Communication, Organisational and Time Management skills.
Ability to work on one's own initiative or in a team environment.
Supervisory qualification desirable.
