We are currently searching for a Receptionist for our busy Kilkenny Headquarters. This role is full time office based.
Responsibilities:
* Meet and greet customers, visitors & employees with a professional manner and act as a representative for all services & businesses within CluneTech
* Manage room and pod bookings
* Coordinate events/board meetings/business client visits to the Kilkenny office when requested, including refreshments, tea/coffee etc
* Provide strong Administration support to all businesses within CluneTech
* General administration including post sorting, distribution, DHL, courier bookings etc
* Process/Update all Irish and Foreign documents for tax returns and on-site file management
* Ensure the office environment and procedures meet health and safety regulation standards including management of First Aid & Fire Safety for the Kilkenny buildings
* Act as the main point of contact for all office-based queries including managing the relationships between CluneTech and external vendors i.e. stationary, cleaning company etc
* Organise the distribution of equipment and liaise with ex-employees to organise the collection of equipment, tracking same accordingly
* Manage the fob system as per ISO requirements
* Develop and maintain professional communications with all CEO's and all company contacts, both internally and externally
* Manage any credit card transactions that occur as part of your role and provide monthly necessary back up to Accounts Department following approval
* Create and implement new administration systems or processes where necessary
* General housekeeping to ensure the cleanliness of the canteen area, including lunch/break times, pre & post onsite events
* Ensure meeting spaces are fully stocked with refreshments, stationary etc
* Assist with in-house event related tasks such as planning, sourcing and negotiating in addition to managing relationships with external partners as required
* Act as a POC for events where required
* Utilise available technology such as TEOS as required
* Manage flight, hotel and associated bookings for CEOs/Senior Management where required, ensuring the best corporate rates when required
* Plan itineraries for visitors including entertainment, where necessary
* As part of this role, you may be designated additional assignments and tasks by the Management team. These tasks will be varied in nature but will form an integral part of the role.
Requirements
Skills/Requirements:
* A minimum of 3 years' experience in a front facing role
* Strong IT skills including calendar management and booking systems
* Professional manner & excellent communication skills
* Strong organisational skills
* Strong ability to work well independently and as part of a team
* Excellent interpersonal skills with attention to detail.
