As a Meetings and Events Executive at our esteemed hotel within The iNUA Collection, you will play a crucial role in orchestrating flawless events and meetings for our guests. Your primary responsibility will be to ensure that all aspects of the events, from initial planning to execution and follow-up, are executed to perfection, meeting and exceeding our guests' expectations. This role requires a meticulous attention to detail, exceptional organisational skills, and a passion for delivering exceptional service.
This is a Part Time role of 20 hours per week with hours of work open to negotiation.
Key Responsibilities:
1. Event Planning and Coordination:
o Collaborate with clients to understand their requirements and preferences for meetings and events.
o Coordinate all aspects of event planning, including venue selection, catering, audiovisual equipment, and transportation.
o Create detailed event proposals, timelines, and budgets to meet client needs and expectations.
o Ensure seamless communication between all stakeholders involved in the event.
2. Client Relationship Management:
o Serve as the main point of contact for clients throughout the event planning process.
o Build strong relationships with clients by providing personalised service and anticipating their needs.
o Actively seek feedback from clients to continuously improve our meetings and events offerings.
3. Logistics and Operations:
o Oversee the logistical aspects of events, including room setup, audiovisual requirements, and technical support.
o Coordinate with various departments within the hotel to ensure smooth execution of events, including catering, housekeeping, and front desk.
4. On-Site Event Management:
o Provide on-site support during events to ensure everything runs smoothly and address any issues that may arise promptly.
o Supervise event team members and vendors to ensure they deliver services according to the agreed-upon standards.
o Act as a host for clients, ensuring their comfort and satisfaction throughout the event.
5. Post-Event Evaluation and Reporting:
o Conduct post-event evaluations to assess the success of each event and identify areas for improvement.
o Prepare detailed reports on event performance, including attendee feedback and financial analysis.
o Use insights from evaluations to refine future event planning processes and enhance the overall guest experience.
Qualifications and Skills:
* Proven experience in event planning and execution, preferably in a hotel or hospitality environment.
* Exceptional organisational and time-management skills, with the ability to manage multiple projects simultaneously.
* Strong interpersonal and communication skills, with a customer-centric approach.
* Detail-oriented with a focus on delivering high-quality, personalised service.
* Proficiency in event management software and Microsoft Office suite.
* Ability to remain calm and composed in high-pressure situations.
* Flexibility to work irregular hours, including evenings and weekends, as needed.
