The administrator will provide administrative support to the operations department and, in particular, assist the Facilities Manager.
Main Duties and Responsibilities
* Provide administrative support to the on-site Facilities Manager.
* Record staff attendance using TMS.
* Log and track work orders.
* Process purchase orders in a timely manner.
* Maintain and update various records, including training documentation, job allocation records, cleaning records, contractor RAMS documentation, and fire risk assessment records.
* Assist with front desk duties as needed.
* Liaise with school authorities regarding room allocations and client concerns.
* Support the Facilities Manager in generating monthly reports.
* Enter data into online systems accurately and efficiently.
* Maintain organized files for the site.
* Ensure all paperwork is filed neatly and tidily in designated folders.
Person Specification
* Demonstrate excellent interpersonal skills.
* Understand the importance of safe working practices.
* Possess experience with Microsoft Office software.
* Show ability to work independently with minimal supervision.
* Display flexibility and adaptability in meeting tight deadlines.
Working Pattern
Monday to Friday, 08:00 - 14:30 hours.
