JOB DESCRIPTION:
Job Purpose
The primary purpose of the role is to provide effective administrative and clerical support tasks to support Cork Terminal Business Unit and Cork Technical Services (Engineering). Key duties include managing documentation, issuing notices, supporting local purchasing requirements, supporting safety and training activities, and maintaining records.
Main Duties and Responsibilities
* Provide full administrative support to the following:
o Cork Terminal Business Unit (CTBU) and Cork Engineering Unit
o The Unit Safety Manager in the administration of all safety-related activities for CTBU.
o The Unit Training Manager in the administration of all Cork training activities including maintaining staff training records.
* Administrative tasks will include but are not limited to:
o Maintaining files and records so that they remain updated and easily accessible.
o Issuing routine notices, memos, or other reports.
o Creating documents, maintaining databases, and sending emails.
o Processing requisitions and purchase orders.
o Processing licence applications for air traffic control personnel.
o Assisting with on-site visitors.
o Completing accurate and timely sick leave records, including medical certificates, Social Welfare claims, and return to work reports for Cork Operations Unit.
o Maintaining the records management system.
o Completing accurate and timely Public Holiday and Overtime reports for Cork Operations Unit & Engineering.
o Coordinating local deliveries.
o Liaising with Corporate Affairs to ensure local coordination of vehicle-related activities (services, deliveries, etc.).
o Providing administrative support for training courses as required in coordination with the Unit Training Manager and the Engineering Training Coordinator and the Engineering Training Records Officer.
* Serve as a Health and Safety representative for CTBU as required.
* Perform the role of Document Controller for CTBU & Cork Engineering in line with the requirements of the change management policy and procedure as required.
* Provide administration backup coverage to other units during absences or peak workload periods.
* Other duties appropriate to the role that may be assigned from time to time.
Reports To: Cork Operations & Engineering Management
Relationships
Internal:
In addition to direct reporting relationships, the post holder is required to liaise with all personnel and Directorates in the Company.
External:
The post holder is required to liaise with all appropriate external bodies, providers, suppliers, and companies.
PERSON SPECIFICATION
Education, Knowledge, Experience & Skills
Essential:
* Appropriate third level qualification and/or proven experience in a busy administrative position.
* Excellent organisational and time management skills.
* Strong interpersonal and communication skills.
* Excellent IT skills, including Microsoft Office 365 Suite (Word, Excel, PowerPoint, SharePoint, etc.).
* Ability to work independently or as part of a team.
Desirable:
* Experience working in a regulated environment.
