The Role
The Marketing & Administrative Assistant is a self-starter responsible for day-to-day office functions of Galway Chamber. They thrive in the fast pace of the office and coordinate and prioritize work so operations are smooth and efficient. They are the first person to greet members, dignitaries and visitors when they visit or call the Chamber. The role includes assisting with marketing campaigns, creating content, organizing social media updates, supporting website updates and helping with event planning. They will also oversee the Chamber meeting spaces, respond to members’ inquiries in a timely and professional manner. Additionally, you will maintain the Chamber CRM system and handle administration related to membership, ensuring accurate and up-to-date records.
Key responsibilities:
1. Marketing and Social Media Support:
* Assist in the creation and distribution of the Chamber’s Weekly online newsletter, working closely with the Event and Communications Manager to ensure accurate and engaging content.
* Support the development and implementation of marketing campaigns to promote Chamber events, initiatives, and member services.
* Help create and manage content for the Chamber’s social media platforms, ensuring regular updates that engage and grow the audience. This includes crafting posts, scheduling, and monitoring platform activity.
* Contribute to the creation of marketing materials such as brochures, flyers, and email campaigns to promote Chamber programs and services.
1. General Office Operations:
* Perform front-line reception duties, including answering phone calls, receiving visitors, and managing the general email inbox.
* Manage and coordinate the internal events calendar, meeting room bookings, facility setups, catering requirements, and invoicing.
* Help maintain office supplies and assist in managing upkeep of office facilities and equipment.
* Provide administrative support related to membership, including maintaining the Chamber’s CRM system and handling membership-related documentation.
* Assist in preparing and editing various communications, including emails, reports, invoices, and other correspondence.
2. Event Support:
* Assist in the planning and execution of Chamber events, ensuring seamless collaboration with the Events and Communications Manager.
3. Membership Support:
* Help manage membership-related tasks, including maintaining up-to-date records in the Chamber’s CRM system.
* Provide administrative assistance related to membership renewals and queries, ensuring a high level of member satisfaction.
4. Export Documentation:
* Assist with the Certificate of Origin service, including certifying documents, invoicing, archiving, and ordering stock. Training will be provided to handle these responsibilities.
Skills and Experience
* Relevant 3rd-level qualification, ideally in business, administration, or a relevant discipline, with 1-2 years of work experience.
* Excellent organisational and multitasking skills.
* Strong written and verbal communication skills.
* Proficient in Microsoft Office Suite and other relevant office software.
* Ability to handle confidential information with discretion.
* Ability to work independently while fostering a strong willingness to collaborate effectively within a team.
* Proficiency in the Irish Language is desirable but not essential.
This is a full-time role. The Marketing & Administrative Assistant will work between 9 AM and 5:30 PM Monday through Thursday, 9 AM to 4:30 PM Friday. Occasionally, early morning or late evening work will be necessary to support Chamber events.
