Our client is a leading international Biotechnology company with a state of the art aseptic manufacturing facility in Dun Laoighaire, South Dublin. The plant is one of the most dynamic in Ireland and is currently undergoing rapid expansion and capital investment. This is an excellent opportunity to get experience on Ireland's leading aseptic manufacturing plant.
The Administration Coordinator is a critical role in ensuring the efficient operation of one or more departments. Their activities ensure that department management can maximize their productivity and focus on critical business activities.
Responsibilities:
1. Serves as a primary contact for one or more departments and coordinates the timely completion of the group's administrative needs.
2. Diary management and organization of activities.
3. Making travel arrangements.
4. Organization of meetings – local and international, managing visitors' travel arrangements.
5. Expenses administration.
6. Supports department communications and tracking of activities.
7. Customer Service – handles inquiries from internal stakeholders.
8. Provides guidance and orientation to new team members.
9. Completes specific projects and activities at the request of department heads to support efficient department operations.
10. Provides back-up and support for other site-wide A/Cs as required.
11. Any other tasks/projects assigned as per manager’s request.
Requirements:
1. Experience in personal assistant/administration support roles to Director level.
2. Excellent literacy and numeracy skills, with strong attention to detail.
3. Competent in MS Office tools – Word, Outlook, PowerPoint, Excel, Visio.
4. Experience of organizing congresses/meetings involving stakeholders from multiple organizations, both local and international.
5. Planning and organization skills.
6. Ability to adjust to shifts in priorities.
7. Self-confident and assertive in working with senior management.
8. Ability to maintain confidentiality.
9. Proactive/solution-oriented approach.
10. Personal accountability to see matters through to completion.
Package: The initial contract duration is 12 months with a view to extend.
