Position:
Overview of role: As Parts Supervisor, you will be responsible for the day-to-day running of the parts department, including ordering, receipt, issuing, returning to vendor, and storage and care of all stock within the department.
Reporting Line: Head of Returns, Workshop, Logistics & Parts Departments
Main Responsibilities:
* Overall responsibility for day-to-day operations of the department.
* Raising Purchase Orders with OEM/suppliers and in the ERP system.
* PO receipt of spare parts.
* Run stock issue analysis (MRP) and raise Purchase Orders to OEMs.
* Ensure allocation of spare parts to technicians as requested and ensure movement updated on the system.
* Staffing and resourcing of employees within the area for department functions.
* Supervision, duty delegation, and motivation of direct reports within the department.
* Returning of faulty parts/high-value parts to OEMs/suppliers.
* To be fully able to operate the ERP stock control system.
* To run daily and monitor stock usage reports.
* To keep the ERP stock system up to date to account for and locate all stock.
* To input a new order into the system, giving each item a detailed description and new stock number if necessary.
* To ensure inbound PO delivery stock is counted and checked before booking onto stock.
* To prepare any relevant paperwork regarding damaged or wrongly ordered items.
* To follow up on all queries with OEMs/suppliers to full resolution of any issues.
* To ensure that all storage areas are kept clean and in an orderly fashion.
* To keep an organised filing system.
* To keep up to date with any general admin duties (i.e., ordering, returns, emailing suppliers).
* To prepare and send reports to key customers/OEMs as per schedule and on an ad-hoc basis as requested.
* To ensure inventory cycle counts are completed as required and facilitate any OEM monthly/quarterly stock counts as requested by OEMs.
* To be the initial point of call for all telephone inquiries from other departments.
* To assist in building a strong communication relationship between the parts department, workshop, and customer service departments.
* To ensure that all policies & procedures are followed.
* General duties will include assisting in parts area maintenance to ensure a clean and healthy environment.
Requirements:
Key Competency: Required Ability:
1. Management of workshop spares requirements.
2. Ability to work on own initiative and to plan daily/monthly target actions.
3. Purchase Order raising & online ordering.
4. Strong systems knowledge and ability to develop a clear understanding of business processes.
5. Inventory control management.
6. Good Microsoft Office knowledge (including Excel, Word, and PowerPoint).
7. Generate reports.
8. Ability to multi-task and prioritise key objectives on a daily basis.
9. Collation and batching of used material for return to Manufacturer on a bi-weekly/monthly basis.
10. Attention to detail and fast learner.
Requirements:
Ideally, you will need to be educated to Leaving Certificate level or higher. We would also be looking for the following attributes:
* PC literate with a good working knowledge of Microsoft Excel and Word.
