Executive Assistant to GMS Leadership
We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Global Medical Sales (GMS) leadership team based in Dublin.
About the Role
* Provide administrative, organizational, and communication support to the GMS leadership team.
* Be the first point of contact and liaise with other departments, external partners, and customers.
* Administer expense reporting for the GMS leadership team.
* Arrange travel and logistics for GMS leadership team members.
* Manage diaries, meetings, and events.
Key Responsibilities
1. Administrative Support:
o Manage calendars, emails, and correspondence.
o Coordinate travel arrangements, itineraries, and expense reports.
o Prepare presentations, reports, and other materials as needed.
2. Organizational Support:
o Assist with event planning and coordination.
o Collaborate with other admin teams to ensure shared best practices.
o Develop and implement process improvements.
3. Communication Support:
o Provide timely and accurate information to managers.
o Alert managers to important issues or deadlines.
o Maintain confidentiality and discretion when handling sensitive information.
Requirements
* Minimum 5 years' experience in executive administration, preferably in an international company.
* Fully conversant with MS Office, Outlook, and other communication devices.
* Knowledge of medical/pharmaceutical terms and company procedures/policies.
* Excellent organizational, operational, and interpersonal skills.
* Fluent in English and comfortable communicating with top management, external partners, and stakeholders.
