We are seeking a Weekend Receptionist for our Trinity Care - Annabeg Nursing HomePurpose of the RoleTo maintain high standards of administration and documentation management.
To maintain high standards of reception desk management, including meeting and greeting residents, visitors, relatives and staff.The role will require weekend work and Bank Holidays.
(Ideal candidate must be flexible to also cover reception Annual Leave)Key Responsibilities: Professional To comply with all required documentation and confidential aspects of your role in line with Trinity Care policies and procedures and the Health Information and Quality Authority standards To ensure that the safe storage and security of any information held at the reception desk is maintained at all times To report to the administration manager any defects in equipment or shortage of any supplies related to your role and responsibilities To ensure that any spillages, hazards or risks in the reception area are dealt with immediately Attend staff meetings and mandatory in service training as required Management & Administration of tele-monitoring system Timely management of calls, calls must be answered courteously & efficiently & filtered through to the intended recipient via phone and email if intended recipient is unavailable Following up with staff who have not clocked in on time and in turn keeping the relevant Line Manager aware of any issues concerning missed appointments, tardiness, and sick calls Responsible for administering and maintaining office systems, supplies and procedures, including areas of clerical and secretarial support, in collaboration with the administration manager, necessary for the efficient operation of Trinity Care nursing home To meet & greet all residents and visitors to the premises Forward Diary Management, if intended recipient is out of the office for the foreseeable future i.e.
line managers, all messages must be forwarded via email/text Maintain effective filing systems Maintain the residents billing system, phone calls, sundry items, withdrawals via the site safe storage area upon request from residents Ensure daily post/mail is forwarded to the relevant person as soon as possible Arrange transport for staff/residents as required Assist staff with faxing or emailing documents Assist staff with the safe transport of specimens or other items Alert the appropriate member of staff if residents at risk attempt to leave the site without an escort Compile & distribute Nursing home Brochure's to potential residents/relatives/visitors Participate in the viewing of bedrooms and other communal areas of the nursing home with potential residents and relatives. Key Responsibilities: Risk Management/Quality Improvement Comply with the requirements of Trinity Care Nursing Home's Health and Safety Statement and Risk Management Policy and Procedures Report all incidents/accidents or near misses to the clinical nurse manager on duty and record on Care Monitor in accordance with the incident reporting and management policy and procedures for Trinity Care Nursing Home Adhere to Trinity Care Nursing Home's policies and procedures for the prevention and management of infections Report any concerns about environmental quality to the Accommodation manager Full participate in any quality improvement initiatives for infection control within the nursing home.Apply now and discover the benefits to be part of Trinity Care Team
