Job Description:
The successful candidate will be required to work across various shifts, including weekdays from 7:45am-6pm, occasional evenings from 7:45-9pm, and Saturdays from 8:30am-6:15pm.
Main Responsibilities:
1. Logging, updating, and closing requests on the helpdesk system.
2. Contacting relevant sites to ensure tasks are issued to the correct personnel.
3. Liaising with key teams to resolve issues.
4. Ensuring accurate creation, assignment, prioritization, and categorization of work orders in line with contractual KPIs and SLAs.
5. Analyzing open call reports and progressing them in accordance with contractual timescales.
6. Assisting in the preparation of monthly reports for schools contracts.
7. Maintaining and updating data records as requested.
8. Posting invoices to the accounts system and ensuring costs are approved by relevant personnel.
9. Processing payroll and assisting with on-site time management systems administration.
10. Supporting the team and Contract/Facilities Managers in day-to-day contract administration.
11. Placing purchase orders for goods or services for PPP contracts.
12. Providing audit support and tracking actions following internal and external site reviews.
13. Supporting contract management with general office administration.
Ideal Candidate:
1. Understanding of contracts and key performance indicators.
2. Experience in using Excel at an advanced level, as well as Outlook and Word.
3. Previous experience in a similar role in office administration.
