Clerical Officer/Receptionist
We are seeking an experienced Receptionist to join our team on a temporary month-to-month contract in Galway City.
Responsibilities
* Work in a fast-paced environment and maintain productivity under pressure.
* Verify and record invoices on behalf of the Senior Executive Officer, including utility bills, agency fees, storage costs, cleaning services, and printer invoices.
* Process orders for janitorial items and oil requests.
* Perform general administration duties such as filing, typing, data entry, photocopying, and scanning.
* Take minutes as required.
* Handle queries via phone, email, and post.
* Transfer messages and follow up on queries related to invoices and services not provided as per contracts.
* Arrange tender viewings with perspective cleaning companies and attend committee meetings with the Assistant Staff Officer.
* Perform other duties assigned by the Staff Officer or Senior Executive Officer.
* Schedule clinics and process claim forms.
* Issue Primary Medical Certs to people with disabilities.
* Send out clinic appointment letters.
* Maintain the client database.
Requirements
* Proficient in Microsoft Office (Word, PowerPoint, Excel).
* Previous experience within the HSE is desired.
* Strong typing skills are essential.
* Dictaphone typing is a plus but not mandatory.
* Excellent communication, organisational, and presentational skills.
* Attention to detail, prioritisation, and deadline orientation.
