The Role: An opportunity has arisen within the Valuations team at one of Ireland's leading property consultancies, based in central Dublin.
Responsibilities:
1. Preparation and typing of documents, reports, and minutes for a busy department.
2. Audio typing (90%) and copy typing (10%) using MS Office and Diktamen.
3. Assisting and managing correspondence, diaries, and action lists for Directors.
4. Proactively taking instructions from Diktamen and other sources.
5. Answering and directing calls, ensuring all inquiries are handled in a timely manner.
6. General accounts tasks, including invoicing, using the in-house e-business system.
7. Management of the in-house CRM system and maintenance of accurate workflow and comparable data.
8. Filing, photocopying, compiling tender reports, and handling other ad-hoc duties as required.
9. Participating in a pooling system with other administrative support when necessary.
10. Working closely with reception to cover breaks, sick leave, and annual leave as needed.
11. Assisting with ongoing internal reviews and audits of soft and hardcopy files for regulatory purposes.
12. Maintaining service levels as outlined by Directors and HR.
13. Chasing company and team debtors on a daily/weekly basis.
14. Confirming all appointments and meetings, ensuring meeting rooms are booked.
15. Managing the department's client entertainment activities.
Requirements:
1. 5-7 years of previous experience in a busy working environment.
2. Excellent time management and organisational skills.
3. Exceptional customer service skills with an ability to liaise with directors and clients.
4. A positive attitude toward work and willingness to contribute as part of an interactive team.
5. Ability to build and maintain strong internal and external networks.
6. Strong verbal and written communication skills, along with excellent interpersonal abilities.
7. Experience with audio typing is advantageous.
