Position Summary
The Facilities Co-ordinator will oversee the smooth operation of facilities management across a growing multi-site organisation, providing related administration and facilities support as needed.
Please note: This is a permanent, part-time (3.5 day working week) position located in our National Office.
Primary Responsibilities
* Facilities / Premises Management
* 1. Oversee facilities management function across Jigsaw in conjunction with the DFO.
* 2. Administer the Facilities Helpdesk, triaging and supporting resolution of issues that arise.
* 3. Supervise services provided by contractors, reviewing quality and ensuring value for money.
* 4. Manage supplier relationships and source competitive quotes.
* 5. Oversee planned maintenance schedule for all Jigsaw premises.
* 6. Work with Services team on Business Continuity Plans (BCPs).
* 7. Retain oversight of key-holding responsibilities across Jigsaw and respond to alarm activations.
* 8. Support DFO in opening/refurbishment/re-location of Jigsaw hubs.
* 9. Resolve internal building maintenance issues within scope of competence at NO and local hubs, and liaise with landlords as necessary.
Health and Safety
* Take prominent role on Jigsaw's H&S Steering Group, undertaking health and safety tasks at National Office and service level, addressing issues promptly.
* Deliver training and conduct assessments in H&S disciplines to staff in line with qualifications.
* Coordinate identification, management, and mitigation of premises and property-related risks through effective risk management, including oversight of service floor walks.
Administration
* Liaise with DFO in directing, coordinating, and planning essential central services at National Office such as reception, security, maintenance, mail, and cleaning.
* Oversight of administration paperwork related to facilities management.
* Work with Finance team on developing and managing Facilities annual budget, supporting DFO in preparing documents for e-tenders.
Knowledge, Skills, and Experience Required
* A qualification in Facilities Management or similar discipline.
* Three years' experience managing various tasks with experience in supporting a team within a facilities management environment.
* Excellent organisational, analytical, and facilities management skills.
* A full clean driving licence.
* Computer literacy, including MS Word, Excel, PowerPoint, and Outlook.
* Excellent communication skills and ability to work with professionals.
* Passionate about young people's mental health and achieving change in Irish society.
* Capacity to work both independently and as part of a small team.
* Ability to prioritise workload and maintain structured service delivery.
* Ability to travel for work and willingness to work occasional evenings and weekends, as required.
