Leinster Appointments is currently recruiting for a permanent, full time Office Manager in Co. Offaly.
Fully office based role
Monday - Friday with flexible start and finish time
Responsibilities
* Assist senior management with various ad hoc tasks as needed
* Act as the first point of contact for IT queries and requests, coordinating IT support
* Manage the company’s phone service provider account and arrange company phones when required
* Organize company inductions, including setting up workstations, IT equipment, and contracts
* Oversee the scheduling of services, tax, and DoE for the company’s plant fleet while maintaining an up-to-date register
* Support the purchase order process as needed
* Coordinate mass communications, including email marketing, social media management, website updates, and assisting with monthly bulletins
* Order and manage office supplies
* Schedule meetings via email calendar and ensure necessary arrangements are made
* Monitor the recruitment email inbox and assist with scheduling interviews
* Provide support to the company’s training team, maintaining the Continued Professional Development register and associated records
* Assist with ISO management systems, document control, and support Quality, Health & Safety, and Environmental processes
* Support tender applications by gathering and organizing relevant documentation for submission
* Maintain project files in both digital and physical formats, ensuring all information is up to date
* Assist with document control on various projects by obtaining, organizing, and maintaining construction documents, registering drawings, circulating them to the Site Management Team, and archiving superseded versions appropriately
* Support the management and administrative functions of the Procore system
* Help organize and maintain Client Safety Files (O&Ms) for ongoing projects
* Assist in gathering BCAR documentation and ancillary certificates from subcontractors, issuing them to the Assigned Certifier at regular intervals, and ensuring compliance with BCAR responsibilities on-site
* Carry out general administrative duties such as photocopying, printing, and filing
* Co-organize various company events

Excellent interpersonal and communication skills
Construction / engineering background preferable
