Job Description
The purpose of this role is to provide administrative support throughout various projects, with a focus on assisting with project document completion and control.
The Role:
* Assist Contracts Managers with administrative tasks, including preparing risk assessments, method statements, job programs, updating job files and trackers, managing timesheets, sub-contractor qualifications, minute-taking, and report preparation.
* Coordinate all activities related to the document control procedure, including technical documents, drawings, and commercial correspondence.
Main Responsibilities:
* Input document data into standard registers ensuring that the information is accurate and up to date.
* Maintain controlled copies of latest approved documents and drawings, and distribute them to the appropriate staff, subcontractors, and suppliers as applicable.
* Maintain documents and drawings in the document control office under safe custody without any damage or deterioration, with easy traceability.
* Maintain files and control logs as required by the project.
* Filing, archiving, and retrieval of documents, in accordance with company procedures.
* Collate all works information for jobs.
General Administrative Duties:
* Ordering uniforms, stationery, and sundry items.
* Report creation.
* Printing, binding, laminating.
* Meeting organisation.
* Ad hoc duties as required.
Site Office Maintenance:
Assistance with maintaining the site office.
The ideal candidate will be self-motivated, have strong team working attributes, and possess the ability to analyse problems and develop solutions. They should also be able to manage works to resolve issues quickly and efficiently, with a dynamic professional approach and high self-conduct standards at all times.
