The Access to Care Team provides end to end administration support to the hospital and its functions. Access to care teams manage all queries, telephone calls and correspondence (paper and electronic) for all administration areas of the Hospital.
Primary Duties and Responsibilities: Responsible for the efficient processing of all Access to Care functions throughout the Hospital. The Access to Care Advisor will project a professional company image through all contact with all patients, staff and visitors to UPMC Aut Even Hospital. Duties include but are not limited to the following: Reception, Admissions & Radiology: Work in our Hospital Admissions, Outpatients and Radiology Department. Be responsible for admitting all patients in a timely and courteous manner. Be responsible for cash handling, and end of day balancing for Admissions. Be responsible for handling all queries with the wider team Be able to multitask in a demanding role working with a wider team. Have knowledge of multiple systems, and be able to manage a busy workload. Have excellent attention to detail, and ability to use the Microsoft Office suite of applications. Be responsible for confidentiality of patient information at all times. Have excellent communication skills to work within a busy team. Liaise with other teams to ensure safe handling of records at all times. Complete regular audits as required. Scheduling Team: Work in our Scheduling team. Be responsible for handling all telephone queries relating to Diagnostic Scheduling and dealing with them in a timely and courteous manner. Be responsible for receipt of and processing of all Healthlink referrals and loading to the hospitals RIS system. Be responsible for the timely scheduling of all Diagnostic Radiology appointments, including MRI, PET CT, Ultrasound, CT and Dexa appointments. Have excellent communication skills, and be able to demonstrate these skills with our patients and multidisciplinary team. Be able to multitask in a demanding role working with a wider team. Have excellent attention to detail, and ability to use the Microsoft Office suite of applications. Be responsible for confidentiality of patient information at all times. NTPF Co-Ordination Logging receipt of NTPF referrals, ensuring all external hospital referrals match order numbers issued by the NTPF to UPMC. Scanning all referrals to database and creating MRN in ISoft and ensuring database is kept up to date at all times. Communicate with patients where necessary. Create and verify weekly reports to NTPF. Following up with public hospitals on any referrals that have been omitted and or any extra patient information that may be required. Presentation of referrals to the NTPF Clinical Lead in UPMC Monitoring of referrals to ensure all patients have a procedure date within the allotted timeframe. Gathering all post procedure correspondence, scan to database and match it with invoices and return to referring hospital Medical Secretary To be responsible for the medical secretary function for the Hospital suites. To meet, greet and book in patients on the day of the clinic in an efficient manner. Have a clear understanding of the patient pathway throughout the Hospital. To provide an efficient service in setting up and expansion of clinics as required. This will involve promptly dealing with phone calls, and referral letters from GP’s. Contacting patients regarding appointment times and fees to be paid. To request and gather information from other hospitals as required by consultants, such as scans, histology reports, pathology reports, etc. To handle cash payments for the consultants and ensure same is entered on the system and balanced daily. To ensure that all billing of patients takes place on a prompt and regular basis and all patient accounts are kept up to date. To complete any medical reporting required after consultations have taken place in a timely manner and ensure copies are sent to referring GP’s and Consultants. To deal with any patient enquiries as they arise as promptly as possible. To maintain proper and efficient filing systems for each consultant as required. Keep the practice software always updated (Imeddoc/TPRO). To liaise with and maintain an excellent working relationship with other members of the hospital multi-disciplinary team ensuring a high level of patient service is maintained. To work closely with the hospital referrals and scheduling teams strictly adhering to the hospital booking policy to ensure that all patients are booked within the correct timeframe. To answer telephone calls in a polite, courteous, and professional manner, taking messages or distributing calls as appropriate. To carry out any training duties as necessary for relief staff / work experience staff for holiday cover. Medical Records Be responsible for all Medical Records tracing and movement within the hospital Be responsible for filing of important documentation to the patient file. Be responsible for confidentiality of patient information at all times. Ensure best practice manual handling is adhered to in a physically demanding role Personnel Follow uniform policy reference General Through the course of the working day or week there maybe a requirement to work in other areas of the hospital in line with patient requirements as requested by your line manager/deputy or nurse management. Staff must produce satisfactory documentary evidence of all training and experience claimed by them, if required to do so by the organisation. To respect the organisational values of the Hospital. Qualifications & Experience:Have previous relevant work experience. Have excellent Customer Care Skills. Have excellent interpersonal skills and telephone manner, and the ability to communicate effectively with all key stakeholders. Have knowledge of all Microsoft packages and experience of a Hospital Administrative System is advantageous. Have strong organisational skills.
