About the post:
The Student Services Office is seeking to fill the role of Student Services Co-ordinator - Accommodation & Operations. The successful candidate will join the Student Services Team which delivers an A-Z of non-academic/out of classroom supports and services to students. This unique role offers an opportunity to work as part of the accommodation service in addition to providing administrative support to student facing opportunities.
On the accommodation front, the role involves working closely with the Accommodation Manager in the planning, organising, and roll out of accommodation services both on campus and off campus. The office has an open-door policy whereby all students are encouraged to seek assistance and advice on accommodation. The co-ordinator will support students in finding the right place to live and recognise budget constraints alongside the student's individual needs. The role also involves assisting with raising the profile of accommodation at RCSI both internally and externally and seeking out new accommodation opportunities across a wide range of suppliers.
On the operations front, the role entails supporting the unit's deliverables across a number of key student engagement areas such as the Student Leadership Development Programme (SLDP) and other similar projects which serve to enhance the student experience.
This is a fully on-site/in person role based in the RCSI St. Stephen's Green campus.
Job Responsibilities:
1. Update and maintain the Student Accommodation Database which records where all current students reside. This is achieved using existing records and adding new data as it becomes available throughout the year.
2. Engage with the student body both as a group and individually to ensure that all data and records on accommodation are complete, current, up to date and accurate.
3. Assist with reports and metrics on where students are living using the data referred to above and presenting this in both written and graph form in addition to defining this information based on programme of study, school, etc. This data will be used as the basis for decision making on accommodation matters.
4. Design and deliver a communications plan aimed at students which seeks to inform them of the need to diligently engage in securing accommodation early for each academic year and working to ensure realistic expectations as to the location of such accommodations.
5. Create a communication strategy to encourage students who are graduating or moving from an existing accommodation lease, to make their accommodation available to current students who are on the accommodation search.
6. Work closely with current and new accommodation providers to ensure the best possible service is delivered to the student body and triaging/problem solve student issues that arise related to accommodation.
7. Support the accommodation orientation programme delivered to new incoming students at the start of the academic year.
8. Provide support to the Accommodation Manager in the rollout and management of service deliverables in Mercer Court, Aparto and other student residences.
9. Support the booking and room allocation process as required and engage in a variety of essential operational processes such as room inspections etc.
10. Support students including postgraduates, visiting scientists, etc., in finding accommodation, advising on locations, guiding them on costs/budgets.
11. Support the activities and deliverables of the unit as a whole including partnering with existing Student Services Co-ordinators as required in the delivery of supports and services.
12. Provide administrative assistance to initiatives such as the Student Leadership Development Programme (SLDP) and other similar engagement initiatives.
13. Contribute to the development and roll out of special projects within the Student Services Office.
14. Liaising and working with National Governing Bodies to ensure best practice is supported and upheld at all times.
15. Representing the best interests of RCSI and the Student Services Office at all times.
16. Availability to work out of office hours to participate in student events.
17. Be flexible and adaptable to changing duties and deliverables of the post and undertaking other duties and training as may be required.
