Office Administrator

Join our growing Architectural and Engineering Practice in Castleblayney, County Monaghan. With a reputation for excellence and a diverse portfolio ranging from residential and commercial projects to large-scale housing schemes, we are expanding and looking for a dedicated Office Administrator to support our dynamic team. In this pivotal role, you’ll be the backbone of our office operations, ensuring everything runs smoothly and supporting senior management with a variety of responsibilities.
Key Responsibilities
1. Handle general administrative and secretarial tasks, including filing, photocopying, and correspondence with clients, vendors, and stakeholders.
2. Manage bookkeeping, prepare invoices, track payments, process monthly wages, and create detailed reports and analysis using Excel.
3. Oversee daily office operations, manage supplies, coordinate maintenance, and address office-related issues.
4. Draft and collate documents for project bids and tenders. E-tender experience would be useful but not essential.
5. Maintain the company’s online presence on platforms like LinkedIn, Facebook, and Instagram, and create polished materials using tools like Canva, PowerPoint, and Adobe Acrobat.
6. Maintain records for the company’s Quality Management System.
7. Organise team-building activities, office events, and wellness initiatives to foster a positive work environment.
8. Assist with recruitment, onboarding, and maintaining employee records while ensuring basic HR compliance.
9. Tackle additional tasks as required to support the team and office operations.
What You Bring to the Role
1. At least 5 years’ experience in an office environment; experience in professional services is a plus.
2. A professional, friendly, and creative attitude with a keen eye for detail.
3. Proficiency in Microsoft Office Suite, including Excel (pivot tables, reports, etc.).
4. Ability to work independently, collaboratively as part of a team, and under direction.
5. Exceptional written and verbal communication skills in English.
