Southside Partnership receives funding through the Social Inclusion and Community Activation Programme (SICAP) 2024-2028 and we run a Community Employment and a Tús Scheme supported by the Department of Social Protection alongside a number of projects financed through the HSE, Tusla, Local Government and Philanthropy.
Role
Southside Partnership is seeking to recruit a standalone Human Resources Specialist on a 12 month fixed-term basis in a full-time capacity. The Human Resources Specialist position reports directly to the CEO. The Human Resources Specialist position is based in Blackrock, Co. Dublin. The salary for the Human Resources Specialist position is €42,382.31 per annum. This position is subject to a 6 month Probationary Period.
Duties & Responsibilities
The HR Specialist will play a pivotal role in establishing and enhancing the HR function at Southside Partnership DLR. This full-time, fixed-term role is project-focused and aims to deliver specific HR initiatives essential for the organisation’s operational efficiency and compliance. The HR Specialist will be responsible for the successful execution of designated HR projects, with a primary focus on developing and implementing a comprehensive “HR Administration” system.
Specific duties and responsibilities of the role will include but are not limited to:
HR Administration System Development:
* Conduct a comprehensive review and collection of all existing employee files for the organisation’s 50-core staff, whether stored in hard or soft copy.
* Create or update individual employee files, ensuring all relevant documentation is organised and accessible.
Employee File Audit and Documentation:
* Perform a detailed audit of the employee files to identify missing or incomplete documentation, using a best-practice checklist.
* Liaise with relevant personnel to acquire or generate missing documents, ensuring each employee file is complete and compliant with organisational and legal requirements.
Physical File Management:
* Organise and secure all completed employee files in a designated storage cabinet onsite in Blackrock, ensuring they are stored in an organised and confidential manner.
Digital File Management:
* Create individual employee file folders within a secure shared drive on the SSP server.
* Scan, title, and save all physical documents from each employee file into their respective digital folders, ensuring accuracy and confidentiality in the digitisation process.
HRIS Integration:
* Utilise the information from the complete employee files to update existing employee profiles or create new profiles within the HRIS (currently HR Locker), ensuring all employee data is accurate and up-to-date.
Compliance and Best Practice Implementation:
* Ensure all HR administrative processes and employee files comply with current employment laws and best practices.
* Make recommendations for ongoing improvements to the HR administration system to support future organizational needs.
Collaboration and Communication:
* Work closely with the senior management team and relevant departments to ensure a smooth transition to the new HR administration system.
* Provide regular updates on project progress, challenges, and milestones achieved to the CEO and other stakeholders.
Other Duties and Project Work:
* Provide administrative support to the CEO and senior management team on HR-related matters as needed.
* Assist in the development and implementation of new HR policies, procedures, and guidelines to ensure compliance with legal requirements and best practices.
* Participate in employee relations activities, such as preparing documents for disciplinary actions, grievances, or other HR investigations.
* Assess training needs of all staff, and work with senior management team to organise relevant training.
* Advise management and staff regarding duties, responsibilities and best practices under Health and Safety legislation.
* Advertising and recruitment for new roles.
* Manage ad hoc HR projects and tasks as assigned by the CEO.

Requirements
* Third Level Qualification in Human Resources Management. CIPD Membership desirable.
* 3+ years’ HR experience.
* Strong I.T. skills, specifically; knowledge and experience of using Human Resources Information Systems (HR Locker experience is an advantage).
* Experience working on HR projects, particularly those involving the development and implementation of administrative systems, is highly desirable.
* Demonstrated ability to handle sensitive information with discretion and maintain confidentiality at all times.
* Ability to work independently, take initiative, and prioritise tasks effectively in a project-based role.
* Legal Permission to work in Ireland.
