Our Design Team:
Venterra's Design team incorporates the design and analysis of foundations and substations for Floating and fixed Offshore Wind, Monopiles and Jackets, T&I, Onshore and Offshore substation design and Onshore Renewables.
Role Description:
As an Office Administrator / Coordinator, you will be responsible for overseeing a wide range of office tasks and supporting the team to maintain an efficient work environment. You will be the first point of contact for employees, vendors, and clients, while managing administrative duties and assisting with internal coordination. The ideal candidate is highly organised, detail-oriented, and able to multitask in a dynamic environment.
Key Responsibilities:
* Office Management: Oversee daily office operations, including managing office supplies, organizing files, and ensuring the office is well-maintained. Serve as the primary point of contact for vendors, IT support, and building management.
* Reception & Communication: Answer and direct phone calls, manage incoming and outgoing mail, and greet visitors.
* Administrative Support: Provide administrative support to senior management and other departments, including preparing reports, managing documentation, and assisting with presentations. Handle confidential information with discretion and ensure data accuracy in all paperwork and digital files.
* Onboarding & HR Coordination: Assist with the onboarding process for new hires, including preparing welcome materials, setting up workstations, and helping with orientations. Coordinate with HR on employee scheduling, leave tracking, and other administrative tasks as needed.
* Travel & Event Coordination: Organise company events, meetings, and conferences. Arrange travel and accommodation for staff, preparing itineraries and ensuring all logistics are in place.
* Record Keeping & Compliance: Maintain accurate and up-to-date records of office procedures, employee information, and other essential documentation. Ensure compliance with company policies and legal regulations in all administrative processes.
* Training Coordination & Record Maintenance: Maintain and update comprehensive training records for all employees. Track training completion, certifications, and upcoming deadlines. Coordinate the booking of internal and external training sessions, including liaising with training providers, scheduling sessions, and arranging necessary resources and materials.
Essential Experience:
* Proven experience as an Office Administrator, Coordinator, or similar role.
* Strong organisational and multitasking skills, with attention to detail.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management tools (e.g., HRIS systems, scheduling tools).
* Ability to work independently and handle confidential information.
* Previous experience in coordinating travel and events is a plus.
* Professional standard written and spoken English is essential.
Education/Qualifications and Competencies:
* Full Driving License
* Willing and able to travel as required
* Excellent verbal and written English.
