Executive Assistant / Office Manager
We are seeking a top-class Executive Assistant / Office Manager to work directly with the CEO of our privately owned property group.
Responsibilities:
* Office Management: Manage the CEO's diary, maintain the CEO's filing, handle office supplies and meeting rooms, oversee office service contracts (e.g., telephone, IT, cleaners), act as the first point of contact for visitors, provide centralized administrative support for site-based and operational management, handle ancillary accounts duties (e.g., credit card management), and ensure the office is maintained in an orderly manner.
* Diary Coordination and Information Sharing: Manage diary coordination and information sharing, research, and report on market and media reports.
* Governance Functions: Schedule agendas for each board meeting, coordinate and issue packs for meetings in advance, take and agree on minutes with the CEO and Chairman of each meeting, schedule actions arising from meetings, assign responsibilities and timelines, and follow up to ensure delivery.
* Business Unit Support: Advise on and set up systems to manage individual businesses and Business Heads more effectively, coordinate the production of business plans for the Group and each of its businesses, track, flag, and report deadlines and deliverables for each Business Unit Head.
