We are looking for an experienced Office Receptionist to provide secretarial, clerical and administrative support to the senior management to ensure that services are delivered in an effective and timely manner. This is a full-time permanent position, based on-site at our HQ in Dublin 1.
Responsibilities:
* Greet and welcome visitors in a friendly and professional manner
* Handle incoming and outgoing mail, packages, orders and deliveries
* Liaise with external vendors for all office related activities
* Maintain office security by following protocols, such as monitoring visitor logs and issuing visitor passes and security access passes
* Generating and renewing staff access cards
* Assist with scheduling meetings, coordinating appointments and reserving conference rooms
* Ad hoc customer interaction and a requirement to utilise Customer Relationship Management system (CRM) to answer customer queries
* Perform basic clerical tasks, including data entry, filing, photocopying
* Provide general administrative support to various departments as needed
* Periodic executive assistance to senior management
Requirements:
* Previous experience as a receptionist / executive assistance / front of house essential
* Strong verbal and written communication skills
* Excellent organisation and multitasking abilities
* Ability to handle information with discretion and professionalism
* Ability to manage a wide range of tasks in a fast-paced environment
* Proficient in Microsoft Office suite and familiarity with office equipment (e.g. printers, access cards)
