TTM Healthcare are proud to partner with our client in the Public Sector to recruit a Grade IV Assistant Staff Officer to join their team in January.
3 month initial temporary contract.
Monday - Friday 9am - 5pm, 35hours per week.
Based in their offices in Killarney 4 days per week and in Tralee 1 day per week.
Professional:
Oversee daily operations to ensure efficiency.
Keep updated on relevant procedures, practices, and laws to ensure high standards are met.
Organise and secure all records properly.
Use technology to maintain high-quality work and adapt to ICT advancements in administration.
Maintain confidentiality.
Plan and organise departmental work.
Meet deadlines for time and attendance entries.
Stay informed about relevant legislation, regulations and guidelines.
Communicate effectively to improve service delivery.
Provide backup for other Time and Attendance Super-users.
Work as part of a respectful team.
Personnel:
Ensure staff understand and follow policies and procedures are well documented.
Support high-quality documentation (reports, correspondence, etc.)
by monitoring and reviewing team work.
Supervise and support staff well-being when applicable.
Manage attendance and absenteeism when applicable.
Promote a workplace culture of diversity and respect.
Foster leadership and motivation for good staff relations and performance.
Maintain records of attendance, statistics, and other requested information.
Education and Training:
Continuously develop personally and participate in team training and learning.
Complete all required training.
Arrange induction and training for staff to enhance skills, including workplace placements if needed.
Provide supervision and support staff development where applicable.
Participate in performance reviews, identifying improvement areas and creating action plans.
Ensure policies and procedures are in place for all areas.
Health & Safety:
Follow and help develop policies, procedures, and safe practices, adhering to relevant laws and standards.
Be familiar with Health Information and Quality Authority (HIQA) standards, including those for child protection and care, and follow protocols.
Support and participate in sustainability initiatives, such as energy, water, and waste reduction, to improve service efficiency.
Essential Requirements:
Have satisfactory 2 year experience as a minimum Clerical Officer with Tusla, the HSE or within other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38/39 of the Health Act 2004 or within a body that provides services on behalf of Tusla under Section 56 or Section 59 of the Child and Family Act 2013.
Proficient in Microsoft Office - Word, PowerPoint and Excel.
Excellent organisational skills and attention to detail.
