It is responsible for postgraduate education, training, and standards in general practice.
The College advises Government and the health services in relation to General Practice.
The College is a member of the World Organisation of National Colleges and Academies and Academic Associations of General Practice (WONCA).
As a membership organisation, the College is responsible for providing continuing medical education for General Practitioners numbering over 4,000.
About the IMG Rural GP Programme Ireland has a major GP workforce crisis, especially in rural areas.
The College has developed an initiative which aims to address the current national shortage of GPs in Ireland, focusing on rural areas.
This programme strives to identify, support and integrate a cohort of international medical graduates into the Irish GP workforce.
It builds on previous successful College initiatives and attracts international medical graduates to work in rural General Practice.
The IMG Rural GP Programme enables IMG GPs to work in routine, daytime rural GP practice for 2 years, with some GP out-of-hours (OOH) work. The GP practice employs the IMG and the College provides a bespoke education programme. The IMG successfully completes the Membership of Irish College of GPs (MICGP) exams and becomes eligible for Specialist Registration with the Medical Council of Ireland. Job Purpose This unique fixed-term contract role will provide full executive / administrative project management support to the two-part-time IMG Rural GP Programme Managers and the wider IMG Rural GP Programme team.
This is an ideal role for someone with extensive administration and broad project management skills who is looking for a dynamic, varied and interesting role that is very definitely different from other administrative roles.
Key Result Areas 1. Provide administrative support to the Programme Managers, International Medical Graduate GPs (IMGPs), GP practices and all other stakeholders to enable key deliverables for the programme.
a. Work with the Programme Managers to complete prioritised objectives within the required time frames.
b. Support the administration of the application process for IMG GPs including application review, interview and follow up processes.
c. Support the administration of the application process for GP practices including application review, GP practice meetings and follow up processes.
d. Coordinate, attend and support relevant programme meetings.
Take minutes and follow up on action items.
e. Manage email distribution lists for the programme team, IMG GPs and Clinical Mentors.
f. Provide cross-cover administrative assistance to the wider IMG programme team on other project activities, as and when required 2. Maintain relevant programme data (in line with GDPR and College Privacy Policies) ensure information is accurately processed, filed, recorded as required through college online systems.
a. Ensure the programme databases are kept up to date and comprehensive.
b. Assist with the development of evaluation templates, collect and collate relevant evaluation and programme data as required.
c. Identify improvements and contribute suggestions towards programme processes and procedures through the appropriate quality assurance structures and effect changes as necessary.
d. Provide full support with the preparation of responses to information requests within the required timeframes.
e. Maintain and update College technologies for effective management, coordination, and delivery of project activities.
3. Liaise with IMG GPs, GP practices and all other relevant stakeholders providing accurate information and guidance in an efficient and timely manner.
a. Liaise with clinical experts, colleagues in the Medical Council, the Health Service Executive and programme participants to coordinate all aspects of the programme.
b. Contribute to education programme, as required, and work closely with the programme team and other College departments as required. c. Proactively participate in the College Performance Management (Job Chats) process.
d. Perform any other duties that might be deemed appropriate at that point in time under the direction of the IMG Programme Managers and IMG Programme Directors.
Person Specification Qualifications & experience Educated to degree level 7, or equivalent Minimum of 3 years' experience in a similar administrative / project management role Excellent organisational, basic project management skills and good attention to detail. This is a multi-tasking role Effective communication skills with the ability to present information in a clear and concise manner verbally and written Previous experience in appropriately analysing and interpreting information, developing solutions and contributing to decisions quickly and accurately as appropriate Technical Competencies Advanced user of standard software including the MS Office suite Excellent ICT skills with capacity to maximise technology to increase efficiencies including database management Behavioral competencies Ability to build and maintain strong relationships in support of this new programme Must display composure, tact and judgment and be at ease support IMG GP's who may require a sympathetic, supportive ear Prepare and deliver reports on programme progress Experience in managing end-to-end processes for programme activities and reporting on same Display initiative in the resolution of complex issues Proven self-starter who can show appropriate initiative to achieve programme aims Ability to operate with cultural sensitivity and well-developed interpersonal skills Ability to take direction and feedback on workplans and priorities Must enjoy working in a fast-paced environment, meeting tight deadlines and be flexible Must be available to occasionally work in other international time zones Display a commitment to promoting and maintaining high work standards and professional service to internal and external stakeholders
