The Senior Systems Analyst will work in the Enterprise PMO office within the Office of the Chief Information Officer, Europe (OCIO) and report to the Head of Programmes and Planning while working alongside the European Enterprise PMO Manager.
The role will be responsible for the administration of the PPM Clarity system, which includes user support, data analytics, dashboard configuration and reporting, and ensuring compliance with company policies and procedures, along with maturing the Enterprise PMO function and supporting the wider European PMO and PM communities.
What you will help us to achieve
PPM User Support:
* Provide end-user support, including troubleshooting PPM system issues, answering questions, and offering training sessions as needed.
* Handle user access management, including creating user accounts, managing permissions, and ensuring data security.
* Ensure and monitor data quality and standards across the PPM system.
* Generate reports and dashboards to support decision-making and performance tracking.
* Monitor data integrity and manage data migrations as required.
PPM System Management:
* Administer, configure, and maintain the PPM Clarity system.
* Act as gatekeeper for user access and user training.
* Drive awareness communication and assist with planning of regular system upgrades, patches, and maintenance activities.
PPM System Configuration:
* Manage system configurations to meet the organization’s operational needs.
* Customize dashboards, reports, and workflows within the Clarity system as required by business needs.
* Create and manage queries, data extracts, and reporting tools.
Collaboration & Stakeholder Engagement:
* Collaborate with IT, project management teams, and relevant departments to ensure the system aligns with business needs.
* Capture and document new requirements and enhancements as required.
* Work closely with vendors and service providers to ensure system support and upgrades are executed properly.
Documentation & Compliance:
* Develop and promote the Enterprise PMO SharePoint site, facilitating the sharing of relevant processes, templates, etc.
* Compile materials and/or presentations needed for regular/recurring meetings and calls.
* Develop and maintain system documentation, including configuration settings, workflows, and user manuals.
* Ensure compliance with company policies, legal requirements, and data security standards.
* Assist with audits and ensure that the system follows established industry standards and best practices.
More specific responsibilities will include
* Create an environment of accountability amongst the PMO community to support Clarity tool adoption and data quality.
* Support and contribute to the PMO Community of Practice across European Technology to ensure common standards are adopted and embedded.
* Promote best practices and act as a liaison for PMO Practitioners to share processes, templates, and libraries.
* Develop and promote a central SharePoint to house all relevant user guides, processes, and template collateral.
What you will need to be successful in the role
* Minimum of 5 years’ experience in an equivalent role.
* Good exposure in the application and support of PPM tools, preferably Clarity.
* Strong data analysis skills with experience using data visualization tools like PowerBI to create dashboards that support data-driven decision-making.
* Knowledge of building knowledge bases and training materials with experience in building SharePoint sites or equivalent collaboration tools.
* Good knowledge and experience of industry-standard best practices in Portfolio and Programme Management.
* Experience of project, programme, and portfolio reporting and change delivery governance frameworks.
* Excellent stakeholder management and interpersonal skills.
* Excellent communicator with strong networking skills, with the ability to influence and persuade and drive standards across multiple PMO teams.
