Position OverviewThe Design Administrator at Boris Dental Labs plays a pivotal role in coordinating the digital workflow of dental restoration designs.
This position is responsible for receiving digital impressions (STL files) from dental clients, assigning design tasks to the appropriate designers, and ensuring efficient communication and turnaround times.
By supporting the CAD team and overseeing the progress of each case, the Design Administrator ensures consistent quality, timely delivery, and exceptional customer service.
Key ResponsibilitiesCase Intake & OrganizationReceive, review, and organize incoming STL files and accompanying case details from dentists and other dental professionals via all platforms (email, whatsapp, Caseconnect, 3Shape, Medit, Shining, Cameo, written) Verify that all required information (prescriptions, patient details, etc.)
is accurate and complete before assigning cases.
Contact and chase dentists for information where required Input information into Vevi Dental.
Input information into SLACK Workflow CoordinationAssign design tasks to the appropriate CAD/CAM designers based on skill level, availability, and case complexity.
Translate requirements for CAD/CAM Designers Monitor the status of each case, ensuring timely progress and promptly addressing any roadblocks. Order parts required for laboratory work output (Createch, McDowels etc) Communication & Follow-UpServe as the primary point of contact for dentists and internal teams regarding design-related inquiries.
Proactively follow up with dentists to clarify prescriptions, obtain missing information, and provide updates on case progress.
Escalate complex or urgent issues to the CAD Administrator when necessary.
Quality AssuranceWork closely with designers to maintain consistent design standards and uphold Boris Dental Labs' quality benchmarks.
Collaborate with the Quality Control team to address any design discrepancies and refine workflow processes.
Documentation & ReportingMaintain accurate, up-to-date records of all case information, revisions, and communications.
Generate regular progress reports for the CAD Administrator and management, highlighting pending cases, bottlenecks, and overall workflow efficiency.
Process ImprovementIdentify opportunities to streamline the CAD/CAM design process.
Provide feedback and suggestions to the CAD Administrator to improve digital workflows, enhance communication, and optimize resource allocation.
Team CollaborationCollaborate with the production team to ensure seamless handoffs from the digital design stage to fabrication.
Facilitate team meetings or huddles to address priorities, deadlines, and any technical concerns.
