Base pay range
This role is only open to candidates who are based in Ireland with work authorisation, hold a stamp 4 visa, or are UK/European passport holders who do not require a permit to work in Ireland.
Reports to: Key Account Manager
ISS Division: Key Account
Location: Dublin city centre
Shift Pattern: 08.00 - 17.00 (Monday to Friday)
Scope: To lead the Workplace Services team and support functions across all locations within the Country, acting as the primary point of contact between building users and the Workplace Services team.
Purpose:
* To confidently lead the ROI Workplace team and manage all processes within the day-to-day operation ensuring all service levels are maintained.
* Oversee all services across the IFS contract liaising daily with all service lines (Workplace, Cleaning, Engineering, Security services & catering).
* Lead small on-site projects and initiatives across the client's estate.
* Liaise closely with key client contacts as well as key users of the service.
* Ensure resources meet demands in all areas.
* Proactively review all operational areas to maximize efficiency and develop the operation.
Key Responsibilities:
* Oversee the work of the Workplace teams and act as a point of escalation.
* Support the training, development, and upskilling of the Workplace team, maximizing team building processes.
* Plan, allocate, and monitor own work and that of the local Workplace teams to ensure targets are met and work is carried out to meet and exceed agreed standards.
* Drive an exceptional service experience providing a seamless interface for the service users while driving continuous improvement.
* Liaise with local client stakeholders, building relationships and establishing efficient lines of communication for any issues or comments.
* Create and maintain a healthy, safe, and secure environment ensuring compliance with all health and safety legislation.
* Ensure the local teams adequately support client requirements such as business continuity planning, information security, internal/external certification audits, financial, security, and HSEQ data.
Service Delivery:
* Effective management of ISS service streams and external vendors to ensure delivery of high quality, value-adding services.
* Responsibility for the effective delivery of cleaning and waste management services across the region.
* Provide oversight of the food and hospitality (F&H) services across the region.
* Work with all service stream leads to embed the ISS Touchpoints concept within the contract.
* Ensure the effective implementation of all HSEQ and other policies and processes.
* Conduct Health and Safety risk assessments.
* Support the Client business continuity processes.
* Ensure that service levels are being met in all work areas.
Client Management:
* Deal with all client issues that are escalated from the team & client representatives.
* Encourage, action & improve all user feedback.
* Develop a good working relationship with end users and client representatives.
* Attend meetings with clients as required.
* Demonstrate and drive pride and professionalism in all aspects of customer service.
Commercial:
* Ensure that annual budgets are monitored and adhered to.
* Support the measurement of KPI's and service standards against agreed levels.
* Provide timely and accurate reports and management information to Key account manager and wider UKI team as required.
* Support the local KAM and the UK Head of Workplace Services in overseeing the commerciality of the contract.
People Management and Development:
* Ensure appropriate staffing levels are maintained in all areas.
* Monitor staff performance, carry out interim and annual performance reviews for team members.
* Hold regular team/one-to-one meetings to ensure effective communication.
* Train and develop team members.
* Ensure compliance with all relevant policies and procedures in relation to recruitment.
* Ensure all new & temporary staff on site have completed necessary induction processes.
* Ensure the Workplace team operating within the region meet the ISS values and leadership principles.
* Focus on the expected team behaviours for achieving significant results and outcomes for the business.
Experience and Attributes:
* National level qualification in facilities management, management, or customer services.
* Qualification in building engineering services would be advantageous (preferably electrical).
* Minimum 5 years’ experience in the management of multi-site facilities management services in a corporate environment.
* A strong team player with excellent interpersonal and communication skills.
* Ability to communicate and interact with clients and team members at all levels.
* Ability to motivate on-site teams and drive exceptional experience.
Other features of the job:
It may be necessary to work alternative hours, on call rota, shift patterns or unsociable hours, including weekends. Local requirements will govern your patterns of work and travel to different locations is an integral part of the position.
